DEPARTMENT OVERVIEW
The Multi-Year Campaign team plays a central role in UWGA’s fundraising strategy, leading donor engagement, campaign execution, and philanthropic partnerships. The team works collaboratively across Development, Marketing, Finance, and Executive Leadership to align strategy, messaging, and operations in support of a multi-year aspirational giving campaign.
JOB SUMMARY
The Assistant Director of Campaign Operations & Project Management is responsible for the day-to-day execution and operational management of the multi-year campaign.
This role ensures the integrity of campaign data, manages project coordination and administrative workflows, and supports the delivery of campaign activities across all workstreams. The Assistant Director translates campaign strategy into execution by maintaining systems, tracking progress, and ensuring alignment across teams.
What are we looking for-CORE RESPONSIBILITIES
Campaign Data, CRM & Reporting
- Own CRM data management, including tracking opportunities, activities, and donor records
- Manage reporting workflows and generate recurring reports from CRM
- Compile campaign data for dashboards and leadership reporting
- Ensure all campaign data is accurate, complete, and audit-ready
- Track pledge schedules and donor statements
- Monitor gift processing timelines and coordinate with Accounts Receivable
- Maintain supporting documentation tied to gifts and pledges
- Lead reconciliation and audit processes across campaign systems
Project Management & Coordination
- Support execution of campaign timelines and workplans
- Track deliverables and ensure deadlines are met across teams
- Coordinate workflows across Development, Finance, Marketing, and Executive Office
- Maintain alignment between CRM, project management tools, and campaign deliverables
Meetings, Scheduling & Administrative Coordination
- Schedule and coordinate meetings across internal and external stakeholders (including but not limited to Campaign Cabinet Meetings, cross-departmental meetings, etc.)
- Manage calendars, invitations, and logistics
- Prepare and distribute agendas and pre-read materials
- Capture detailed meeting notes and summaries
- Track and follow up on action items
- Ensure continuity between meetings and deliverables
- Manage recurring meeting cadences and communication workflows
Donor Engagement & Proposal Support
- Coordinate proposal development processes
- Compile and organize supporting materials for proposals
- Maintain donor tracking and engagement documentation
- Support coordination of follow-ups and engagement touchpoints
Events & Campaign Execution
- Coordinate event logistics, including scheduling, invitations, materials, and vendors
- Support speaker preparation and materials
- Manage event communications processes in collaboration with Marketing
- Execute day-of event logistics
- Manage post-event follow-up and tracking
Documentation, Systems & File Management
- Maintain Teams folders and campaign file structures
- Ensure proper documentation storage, organization, and accessibility
- Manage version control for campaign materials
- Attach and maintain documentation across systems (CRM, files, etc.)
- Create and maintain tracking systems for campaign work
SOPs & Workflow Management
- Maintain and update standard operating procedures
- Ensure adherence to established workflows
- Support implementation of improved systems and processes
