Position Title: Assistant Director of Admissions and Visitor Experience
Department: Admissions
Title of Immediate Supervisor: Sr. Director of Admissions Operations, Graduate Admissions & Dual Enrollment
Funded Term / Work Cycle: 12-Month/Full-Time
Expected Daily Work Hours: 8:00 a.m. – 5:00 p.m.
Expected Weekly Work Schedule: Monday – Friday; evening and weekend work required for recruitment events and special programs as needed.
Pay Grade: 8S
Starting Salary Expectations:  $51,263 - $53,389, with starting salary determined based on relevant experience, qualifications, and demonstrated competencies.

Position Purpose
The Assistant Director of Admissions and Visitor Experience advances Maryville College’s enrollment goals by overseeing campus visit programs, admissions events, student ambassador operations, and strategic communications that engage prospective students and families throughout the enrollment process. The position creates meaningful visitor experiences, supports recruitment initiatives, and collaborates across campus to strengthen enrollment outcomes and institutional visibility.
SUMMARY
The Assistant Director of Admissions and Visitor Experience is responsible for coordinating individual and group campus visits, supervising the student ambassador program, planning and executing major admissions events, and developing communication strategies that support student recruitment and enrollment goals. The position manages prospective student communications, collaborates with Admissions and Marketing & Communications to enhance engagement efforts, analyzes communication effectiveness, and serves as a key representative of the College to prospective students, families, schools, and community partners.
Education and Experience required to ensure success in this position:
Education required:
- Bachelor’s degree required.
- Master’s degree preferred.
Experience required:
- Three (3) or more years of experience in higher education admissions, enrollment management, student affairs, communications, marketing, event planning, or a related field.
- Experience coordinating events, campus visit programs, or recruitment initiatives preferred.
- Experience supervising student employees, ambassadors, or volunteers preferred.
- Experience utilizing CRM systems, email marketing platforms, or enrollment technologies preferred.
- Demonstrated understanding of the liberal arts college environment preferred.
ESSENTIAL FUNCTIONS
Leadership and Collaboration
- Supervise and support approximately 20–30 student ambassadors serving as campus tour guides and admissions representatives.
- Recruit, train, schedule, mentor, and evaluate student ambassadors to ensure exceptional visitor experiences.
- Develop and facilitate ongoing ambassador training initiatives focused on student engagement, customer service, and institutional knowledge.
- Serve as a member of the Admissions leadership team and contribute to departmental planning, recruitment initiatives, and enrollment strategies.
- Collaborate with faculty, staff, athletics, academic departments, and campus partners to coordinate prospective student engagement opportunities.
- Participate on institutional committees and workgroups as assigned.
Data, Technology, and Compliance
- Utilize CRM and enrollment management systems to support recruitment communication and visitor engagement strategies.
- Manage admissions communication campaigns designed to engage prospective students and families throughout the enrollment funnel.
- Monitor communication effectiveness through reporting and analysis of campaign metrics.
- Maintain accurate records and ensure compliance with institutional policies governing student communications and data management.
- Recommend process improvements based on communication outcomes, visitor engagement trends, and enrollment objectives.
Stakeholder and Institutional Support
- Serve as a primary point of contact for prospective students and families regarding admissions visits, enrollment events, and recruitment communications.
- Respond to inquiries from prospective students and families in a timely, professional, and student-centered manner.
- Deliver engaging presentations to prospective students, families, school groups, and community organizations regarding Maryville College opportunities and student success.
- Foster positive relationships throughout the campus community to support enrollment and recruitment efforts.
- Represent Maryville College at recruitment activities, special events, and community outreach opportunities as assigned.
Operations and Technical Oversight
- Coordinate all aspects of individual and group campus visits to ensure a welcoming, informative, and engaging visitor experience.
- Oversee daily visitor experience operations including scheduling, logistics, communication, and tour coordination.
- Plan and execute major admissions events including Meet Maryville, Scholars Day, Highland Day, and other enrollment-focused programs.
- Coordinate event logistics, staffing, communications, facilities needs, and campus participation for admissions events.
- Manage prospective student email communications and communication workflows supporting recruitment and enrollment objectives.
- Maintain knowledge of best practices in admissions communications, visitor engagement, event management, and enrollment marketing.
Strategic Planning and Sustainability
- Support the development and implementation of recruitment and visitor engagement strategies aligned with institutional enrollment goals.
- Assess visitor experiences and communication outcomes to identify opportunities for continuous improvement.
- Utilize engagement and participation data to support strategic decision-making and recruitment planning.
- Contribute to initiatives designed to strengthen prospective student engagement, application conversion, and enrollment outcomes.

- Frequent interaction with prospective students, families, faculty, staff, and visitors.
- Ability to lift or move materials weighing up to 30 pounds.
- Ability to work occasional evenings and weekends for recruitment events and campus programs.
- Ability to travel locally as needed for recruitment-related activities.
Ability to operate the following vehicles or equipment:
- Standard office equipment including computers, printers, telephones, and presentation technology.
- CRM and enrollment management systems.
- Microsoft Office applications.
- College-owned vehicles, vans, carts, or similar transportation equipment as needed.
The College may, at its discretion, sponsor employment-based immigration petitions (such as H-1B or permanent residency) on behalf of employees when permitted by law and aligned with institutional priorities and budget.
Sponsorship is contingent on satisfactory continued employment, compliance with applicable federal regulations, availability of institutional resources, and the College’s sole determination of fiscal feasibility.
