Under the general direction of the Director of Financial Aid, the Assistant Director of Financial Aid supports the administration of federal, state, and institutional programs at Trenholm State Community College. The Assistant Director of Financial Aid is responsible for managing core financial aid processes, including verification, Return to Title IV (R2T4), and Satisfactory Academic Progress (SAP) monitoring. This role also serves as the College’s primary Veterans Affairs School Certifying Official. The Assistant Director of Financial Aid contributes to decision-making, policy development, staff training, and overall operations of the Financial Aid Office, particularly in the absence of the Director.

This position is posted in compliance with Alabama Code §16-22-15. It is the intent to place a current employee in this position.

Examples of duties

Program Administration and Compliance

  1. Assist the Director in interpreting and applying federal and state financial aid regulations to develop and maintain institutional policies.
  2. Manage administration, reconciliation, and reporting for all financial aid programs, including federal grants, work-study, state grants, and scholarships.
  3. Monitor enrolled hours and ensure aid is accurately adjusted according to applicable guidelines.
  4. Provide professional judgment decisions and support the resolution of SAP, special circumstances, and discretionary aid cases.
  5. Authorize disbursement of Title IV funds to student accounts.
  6. Assist with the preparation of required federal reports, including FISAP and the Program Participation Agreement (PPA).
  7. Maintain accurate and confidential student records for all aid recipients, including those receiving veteran benefits.

VA Educational Benefits Administration

  1. Serve as the College’s primary School Certifying Official for Federal Veterans Affairs Educational Benefits for both campus locations.
  2. Administer Chapter 33/Post-9/11 GI Bill®, Alabama GI Dependent Scholarship, and the Alabama National Guard Education Assistance Program (ANGEAP).
  3. Remain current on VA policies and procedures and ensure compliance with certification requirements.

Supervision and Training

  1. Hire, supervise, and train Financial Aid Specialists.
  2. Provide systems training for new staff and ongoing guidance on Banner and internal processes.
  3. Oversee daily office operations in the absence of the Director.

Outreach and Communication

  1. Maintain and update the TSCC Financial Aid Office web page.
  2. Represent the College at outreach events, including high school visits, financial aid nights, and parent presentations.
  3. Provide individual financial aid counseling for prospective and current students and families.

Collaboration and Office Management

  1. Collaborate with departments, including the Business Office, Enrollment Management, and Academic Affairs, to support the effective administration of financial aid.
  2. Contribute to the development and evaluation of departmental goals and objectives.
  3. Serve on institutional committees as requested.
  4. Attend professional development conferences and webinars to remain informed of current regulations.
  5. Perform other duties as assigned by the Executive Vice President, Assistant Dean of Students, or Director of Financial Aid.

Qualifications

Required Minimum Qualifications:

  1. Bachelor’s degree in a related field from a regionally accredited institution is required.
  2. Three (3) years of documented Federal financial aid experience is required.
  3. Ability to work in a high-demand collaborative teamwork environment, maintain a positive attitude, communicate effectively, and manage multiple priorities is required.
  4. Ability to work with diverse populations and provide excellent customer service is required.
  5. Ability to travel to and from all campus locations and attend activities and events in designated areas as assigned is required.
  6. At least one (1) year of recent experience supervising or training staff is required.

Preferred Qualifications:

  1. Five (5) or more years of progressive experience in financial aid, with at least two (2) years in a supervisory or leadership role.
  2. Prior experience as a School Certifying Official (SCO).
  3. Knowledge of State and Federal VA Educational Benefits.
  4. Experience with the Financial Aid Ellucian Banner System or a similar ERP System.
  5. Knowledge of Enrollment Manager.
  6. Experience working at a two-year community college.

Required Knowledge, Skills, and Abilities:

  1. Ability to maintain strict confidentiality and discretion.
  2. Ability to communicate effectively, both orally and in writing.
  3. Must have a thorough knowledge of Title IV funding and federal and state regulations, policies, and procedures regarding administering financial aid.
  4. Must have a working knowledge of Microsoft Office products, including Outlook, Word, and Excel.
  5. Must be efficient, dependable, flexible, responsible, and motivated.
  6. Ability to multitask and understand the urgency of deadlines.
  7. Ability to read and interpret federal and state financial aid regulations.
  8. Ability to learn and perform all essential job functions with minimal direct supervision.
  9. Ability to travel between campuses.
