The Assistant Director reports to the Director of Admissions and is the primary point person for enrollment operations and student onboarding across all Kornberg School of Dentistry admissions programs: D.M.D., Advanced Standing D.M.D. (Philadelphia and Tamaqua tracks), and Post-Baccalaureate. The Assistant Director supports recruitment, interview days, visit days, and open houses for all programs as directed; manages the applicant record and enrollment pipeline from application receipt through matriculation; serves as the primary point of contact for admitted students for onboarding, financial aid, and scholarship matters; and ensures that all pre-matriculation compliance requirements (background checks, immunizations, health insurance, credential documentation) are completed and documented. The Assistant Director coordinates the Advanced Standing bench test and bench test preparation course; supports the Director in managing the application services and assessment platforms used by the school (ADEA AADSAS, CAAPID, Casper); maintains the internal candidate selection web application so that the Admissions Committee has accurate, complete information for review and voting; and coordinates admissions-related meetings and events. Teamwork is of the utmost priority in this position: the Assistant Director is expected to work collaboratively and professionally with the Director of Admissions, the other Assistant Director of Admissions, student services coordinators, and all Admissions team members, to proactively de-escalate interpersonal issues, and to contribute to a positive and cohesive team environment. The Assistant Director will work within and adhere to all policies and objectives in relation to the admittance of students consistent with the Dental School and accreditation standards, will assist with outcomes assessment and data reporting for the admissions process, and will serve as operational backup to the Director of Admissions. Performs other duties as assigned.Required Education and Experience:
Bachelor's degree and at least three years of directly related admissions or student services experience within a higher education environment. An equivalent combination of education and experience may be considered.Preferred Education and Experience:
Previous admissions experience within a healthcare environment, experience with centralized application services (AADSAS, CAAPID), and experience with international or foreign-trained applicants preferred.Required Skills and Abilities:
*Knowledge of Microsoft applications, spreadsheets, and database and presentation software; experience with Slate (or comparable CRM), Banner, and application service platforms (WebAdmit/Liaison, AADSAS, CAAPID) preferred.
*Extreme attention to detail and a proven track record of maintaining confidentiality with applicant, student, and financial records.
*Ability to manage high-volume, deadline-driven processes independently and to prioritize across concurrent admissions cycles.
*Exceptional customer service skills and the ability to communicate effectively both verbally and in writing with applicants, students, families, faculty, *University offices, and external contacts.

*Serves as the primary point person for student onboarding and pre-matriculation compliance for all admissions programs (D.M.D., Advanced Standing D.M.D., and Post-Baccalaureate), ensuring every admitted student completes all University and school requirements before the first day of classes.
*Supports recruitment, interviews, and enrollment for all admissions programs as directed by the Director of Admissions and Associate Dean of Admissions.
*Ensures adherence to all policies, procedures, and professional standards regarding the admissions process within the Dental School and accreditation standards.
*Ensures that established enrollment, collection, and other operational expectations are achieved on a regular basis.
*Ensures accurate advisement to applicants and admitted students on academic pre-requisites, deposits, financial aid, and matriculation requirements.
*Disseminates information on institutional policies and procedures and guides students, faculty, and parents to an understanding of the Family Educational Rights and Privacy Act (FERPA).
*Maintains required documentation of all admissions and onboarding processes and updates annually.Student Onboarding and Compliance (D.M.D., Advanced Standing, Post-Baccalaureate)
*Serve as the primary point of contact for all admitted students following deposit payment through the first day of classes.
*Prepare and distribute all onboarding materials, including health questionnaires, tuition information, financial aid packets, housing and parking information, and required University and school forms.
*Coordinate and track required background check and clearance processing for all incoming students.
*Coordinate with Temple University Student Health Services on immunization, vaccination, and health record requirements; collect and verify documentation and track completion.
*Facilitate student health insurance enrollment.
*Track completion of all pre-matriculation requirements for each incoming student in Slate, follow up on outstanding items, and escalate to the Director as needed.
*Collaborate with Student Affairs on orientation, White Coat Ceremony, and other transition events; attendance at orientation is required.Application Services and Enrollment Operations
*Assist the Director in managing the school's application service and assessment platforms: ADEA AADSAS (D.M.D.), CAAPID (Advanced Standing), Casper, WebAdmit/Liaison, and Slate, including cycle setup, applicant data intake, and applicant communications.
*Process applications and application fees; monitor the two-part tuition deposit system and deadlines; register incoming students in Banner and maintain accurate records across Slate, Banner, and Liaison.
*Generate applicant status letters and correspondence; maintain applicant and admitted-student records and end-of-cycle archiving in accordance with University policy.
*Serve as liaison with the Financial Aid Office, Bursar's Office, Registrar, Academic Affairs, and Student Affairs on enrollment matters.Advanced Standing D.M.D. Program Support
*In collaboration with the Director of Admissions and the Director of the Advanced Standing Program, coordinate bench test logistics for both tracks: scheduling, candidate communications, hosting and travel guidance, simulation lab and materials coordination, and score intake.
*Coordinate the bench test preparation course: enrollment, communications, scheduling, materials, and hosting of participants while on campus.
*Track credential evaluations, English proficiency documentation, and international student requirements; coordinate visa documentation with the Office of International Affairs.Scholarships and Financial Aid
*Process and distribute Kornberg Scholarships (approximately $350,000 annually) in coordination with the Scholarship Committee and the Director of Admissions; compile candidate materials and maintain award records.
*Provide on-site financial aid counseling to applicants and admitted students; facilitate communication with the Financial Aid Office and respond to inquiries regarding scholarships, loans, and tuition assistance.Recruitment and Interview Support (all programs)
*Support recruitment activities for the D.M.D., Advanced Standing, and Post-Baccalaureate programs as assigned, including recruitment fairs, pre-health advisor outreach, campus visits, and information sessions.
*Assist in identifying candidates meeting interview criteria and in extending interview invitations as directed.
*Participate in or conduct applicant interviews for all programs as needed.
*Coordinate interview day logistics: scheduling, applicant communications, interviewer assignments and materials, presentation and tour, and student volunteer hosts.
*Support Visit Days and Open Houses, including planning, applicant hosting, and material logistics.
*Populate and maintain the school's internal Candidate Selection web application used by the Admissions Committee; verify that applicant data, scores, interview results, and supporting documents are accurate and complete before files are released for committee review and voting.
*Coordinate scheduling, setup, materials, and technology for Admissions Committee meetings and other admissions-related meetings and events; document committee decisions in coordination with the Director.
*Attend and participate in Admissions Committee meetings as relevant to assigned programs.Data and Reporting Support
*Compile weekly admission statistics and generate enrollment reports and admissions statistics for internal use and outside agencies (ADEA, University reporting, accreditation).
*Assist the Director with the annual data build, applicant tracking spreadsheets, demographic reports, and outcomes assessment; coordinate with IT student workers assigned to admissions.Teamwork and Departmental Operations
*Teamwork is a core requirement of this position. Work collaboratively and professionally with the Director of Admissions, the Assistant Director of Admissions (Recruitment and Post-Baccalaureate), student services coordinators, student workers, and all members of the Admissions team; share information and materials openly, communicate respectfully, and proactively de-escalate interpersonal issues in accordance with University conduct standards.
*Serve as operational backup to the Director of Admissions; provide coverage for team members during absences and peak periods.
*Supervise admissions student workers.
*Manage physical and electronic admissions records and event materialsOther Duties and Responsibilities
*Participate in search committees and University working groups as assigned.
*Support the Director and Associate Dean in the development of new programs and tracks.
*Back up the Office of Graduate Admissions as needed.
*Address applicant and student complaints and resolve operational problems; escalate as appropriate.
*Assist with special projects as directed by the Director of Admissions or Associate Dean of Admissions.
Performs other duties as assigned.
