Detailed Description:

This recruitment is open to current University of San Diego employees only. Only current USD employees are eligible to apply and be considered for this position.

Assist the Dean and Associate Dean with a broad range of academic and administrative responsibilities that support the College of Arts and Sciences and Undergraduate Studies. This position assists with interpreting, developing, implementing, and administering College and University academic policies and procedures. Provides leadership in the resolution of complex student academic matters, including academic integrity, grade grievance, and other academic review processes. Serves as a resource to faculty, students, and administrators while ensuring consistent application of University policy and promoting student success.

Duties and Responsibilities:

Resolution of Student Academic Problems

• Serves as the College's lead administrator for Academic Integrity and Grade Grievance processes
• Leads the process of academic notice (disqualification and probation) for Undergraduate Studies, in collaboration with the other assistant and associate deans
• Is the first line of contact for the resolution of student academic problems presented either in person or in writing to the Dean’s Office
• Serves as primary faculty resource in supporting students’ academic success
• Is familiar with student conduct issues to advise proper procedures and referral
• Provides counsel to students who are seeking Medical Leave of Absence, Leave of Absence or Withdrawal from the University
• Works closely with Wellness offices to support students
• Maintains partnerships with across campus departments in order to best serve students
• Maintains consistent confidentiality due to nature of interactions with students, parents, faculty and other College/University personnel

Strategic Initiatives and University Collaboration

• Collaborate with University partners to develop, improve, and implement academic policies, procedures, and student success initiatives
• Partner with the Associate Dean and Assistant Dean colleagues to develop and deliver trainings, workshops, and presentations
• Lead or participate in University committees, cross-functional working groups, and strategic initiatives on behalf of the College of Arts and Sciences
• Collaborate with University offices to evaluate and improve academic business processes, technology solutions, and operational efficiencies that support undergraduate education
• Perform other duties and special projects as assigned by the Dean or Associate Dean

Advising, Student Success, and Program Administration

• Support undergraduate student success initiatives through advising, student and faculty programming, among other programs that promote student retention, persistence, and timely degree completion
• Oversee the definition, creation, and launch of the departmental peer-ambassador program and faculty advising asynchronous training
• Supervise the College Academic Advisors and oversee advising operations, including management of the CASadvising@ inbox, proactive academic communications, drop-in advising, advisor training, data management, and proactive student outreach
• Works directly with the Dean, Associate Dean, and Assistant Dean(s) in interpretation, revision, creation and enforcement of College and University policies and procedures
• Ability to interpret and clearly communicate to the University community on a number of policies (e.g. FERPA, Grade Grievance, Academic Regulations)
• Assists with the process for Substitution of Graduation Requirements and Request for Waivers of Residency on behalf of the Dean’s Office of the College of Arts and Sciences

Job Requirements:

Minimum Qualifications:

• Minimum of a Master’s degree required with a background in the liberal arts
• A minimum of two years of administrative experience
• Demonstrated excellent organizational skills and good attention to details and accuracy with the ability to meet both short and long-term deadlines with competing timelines and shifting priorities
• Proven ability to manage multiple projects and assignments in an efficient and effective manner
• Ability to work cooperatively with all levels of administration and staff, faculty and students and the ability to explain processes and interpret policies effectively
• Ability to prioritize workload effectively
• Demonstrated skills in both written and oral communications
• Demonstrated ability to exercise leadership and work as a team member
• Evidence of a collaborative management style and experience managing complex human and financial resources
• Strong interpersonal skills and the ability to motivate staff, administrators and faculty
• Ability to work effectively in a high consultative and diverse environment
• Ability to develop and maintain websites or willingness to learn

Preferred Qualifications:

• Master’s degree in the liberal arts with experience in a higher education administration setting working with faculty, students and supervision of staff.
• Experience directing and academic program(s), including curriculum development, and program-specific advising.

Posting Salary:

$7,734.59 - 9,474.83 per month; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
