General Statement of Job

The Community Relations Assistant will assist and work closely with the Manager of Project/Events to organize events and press conferences to promote the mission of the college and the vision of the administration. Assists with providing administrative and event support as well as day-to-day coordination for community relations projects.

Specific Duties and Responsibilities

Essential Functions:

  • Assists with setup and management of special events sponsored by the College including events taking place at all five South Texas College campuses and other events sponsored by the Office of the President and the Communication and Creative Services department.
  • Assists the Manager of Project/Events to prepare for and coordinate event locations, catering, décor, gifts for all events, celebrations, press conferences, signings, summits and conferences.
  • Assists the Manager of Project/Events to maintain, enhance and expand outreach efforts and programs aimed at community organizations, neighborhoods, key individuals and opinion makers, and the general public.
  • Assists with the setup and management of outreach and partnership programming.
  • Provides administrative support for outreach programs and events including requesting quotes, purchasing event materials, ensuring timely processing of vendor invoices and requisitions and placing orders for promotional items.
  • Performs administrative tasks, such as scheduling meetings, coordinating facilities, creating reports and maintaining files.
  • Assists with the management of requests for college promotional items and t-shirts including fulfillment of requests, conducting inventory and ordering of materials.
  • Assists with scheduling and coordinating requests for mascot appearances as well as providing requesting department/organization with acceptable use standards for the mascot including uniform, conduct while costumed, cheers, etc.
  • Collaborates with other Communication and Creative Services staff on special projects, as assigned.
  • Performs other duties as assigned.

Required Education and Experience

1. To qualify, one of the following must be met:

  • Associate’s degree
  • A minimum of 60 earned college hours

2. At least two (2) years of experience in coordinating and/or assisting in event planning preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Good critical-thinking and problem-solving skills.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to work independently as well as a team player within department and with others.
  • Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
  • Demonstrated commitment to achieving the vision and mission of South Texas College.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of students, customers or employees of organization.
  • Ability to apply practical understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized and non-standardized situations.

Checks, Certificates, Licenses, and Registrations

  • All applicants are subject to a criminal background check under South Texas College policy.

  • Must have a valid Texas driver’s license and proof of liability insurance.

Physical Requirements

  • Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.

  • Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
  • Standing particularly for sustained periods of time.
  • Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.
  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
  • Mobility to accomplish tasks, particularly for long distances or moving from one work site to another.
