Job Description

Join our Team! Leland Management is seeking an Assistant Community Association Manager for one of our communities in the St. Augustine, FL area. The position is full-time with competitive pay and excellent benefits.

  • Assist manager with preparation and distribution of BOD, budget and annual meeting mailing materials
  • Flexible with requested hours and must be able to be onsite or applicable business office as required.
  • Receive and process maintenance requests, track work orders
  • Receive incoming owner and vendor calls, take appropriate action as needed and keep the manager informed
  • Assist in maintenance of homeowner association follow up file and necessary changes to contact information in management working files
  • Prepare and distribute welcome packages for new homeowners
  • Facilitate Association and vendor mailings
  • Assist in producing an Association newsletter
  • Maintain Association liability insurance information
  • Assist in the creation and support of an Association web site for owner access to rules, governing documents, minutes of meetings, newsletter distributionCreate reports (landscape, work orders; delinquencies, violations) out of the management software
  • Attend and take minutes for two ARB meetings per month.
  • Coordinate ARB processing (architectural) requests and answering inquiries
  • Assist manager on any special projects
  • Back up to maintaining Association gate computer
  • Serve as back up manager when association manager is out
  • Assist with review of all Association contracts and preparation of bid specifications as needed
  • Assist with any mailings to members as directed by manager
  • Assist with preparation and distribution the agenda and packets for board of directors’ meetings
  • Attend the annual homeowners meeting check in the owners, assist with election procedures
  • Oversee Barcode and controlled Access to community
  • Assist with Excel spreadsheets as needed for community and CAM
  • Facilitate Email blasts through Mail Chimp or platform adopted by the Association
  • Attend Committee Meetings as needed by Association
  • Assist in the enforcement of the Association Bylaws, CC&Rs, Rules and Regulations and Architectural guidelines
  • Assist and guide personnel on various tasks
