About the Role

We are looking for a highly organised and proactive Assistant to provide comprehensive support to the Books Vice Presidents and wider leadership team. This is a varied and fast-paced role at the heart of the business, offering the opportunity to work closely with senior stakeholders across a global organisation.

In this role, you will provide high-quality administrative and coordination support, helping to keep day-to-day operations running smoothly. You will manage complex schedules, coordinate meetings and travel, support onboarding activities, andmaintainkey departmental communications and resources. Success in the role will require exceptional organisational skills, attention to detail, sound judgement, and the ability to build strong relationships across a diverse stakeholder community.

You will work collaboratively with colleagues and leaders across the businessand Books business area, ensuring priorities are delivered efficiently and providing proactive support on a wide range of activities and projects. Role Responsibilities

  • A broad variety of administrative tasks for the Books Vice Presidents

  • Coordination for VP/discipline team meetings.

  • Provide comprehensive diary management, coordinating stakeholder availability, schedulingvirtual and face-to-facemeetings, providingavailabilityandrescheduling/optimising calendars to align with business prioritieswhenrequired

  • Coordinate business travel and eventlogistics, including researching and booking accommodation, arranging meeting facilities, securing visitor access, and recommending suitable dining and networking venues

  • Support the onboarding process for new hires, including equipment provisioning, access badge coordination, and scheduling introductory meetings.

  • Manage andmaintaincentralised departmental informationincluding: organisation charts, intranetannouncementsand communications

  • Provide project coordination support asrequired, including gathering data and resources, tracking actions and issues, and preparing agendas to support successful project delivery.

Experience, Skills & Qualifications

  • Ability to managing complexityanddemonstrateexceptional organisational, prioritisation, and planning skills,includingmanagingmultiple tasks and competing priorities in afast-pacedenvironment.

  • Excellent written and verbal communication skills, with a strong attention to detail and the ability to communicate effectively across all levels of the organisationwitha high levelof interpersonal awareness.

  • Strong stakeholder managementskills, with the confidence and professionalism to build relationships and engage with senior leaders and global teams.

  • Demonstrable financialacumen

  • Advanced Microsoft Officeproficiency, including strong PowerPoint presentation development skills anda high levelof competency in Word, Excel, and Outlook.

  • Significant demonstrable skillssupporting senior executives or leadership teamswithwider business goal alignment

  • Proactive, resourceful, and solution-oriented, with strong problem-solving skills and the ability toanticipateneeds and resolveand manageissues independently.

  • Highly adaptable and resilient, with the ability tomaintainconfidentiality and exercise sound judgement when handling sensitive information

  • Ability to be organisationally savvy, with strong coordination and project support capabilities, and experience managinglogistics, events, meetings, and cross-functional initiatives.
