Job Description

Our Houston office is seeking a skilled Assistant to support attorneys and assigned team members. This role is ideal for someone with 2–5 years of experience in a legal or professional services environment who is highly organized, detail-oriented, and eager to grow their skills. The Assistant will play a key role in supporting day-to-day administrative and client service needs in a fast-paced setting. Successful candidates will demonstrate strong communication skills, a proactive mindset, and the ability to manage multiple priorities with guidance and increasing independence.

KEY RESPONSIBILITIES

  • Coordinate attorneys’ calendars, including scheduling meetings and resolving conflicts
  • Serve as a point of contact for clients, maintaining a professional and responsive presence
  • Assist with managing emails and calls, helping to prioritize communications
  • Support new matter intake, including preparing engagement letters and coordinating conflict checks
  • Enter and revise time entries and assist with expense reports
  • Support billing processes, including e-billing submissions, proforma edits, and responding to client inquiries
  • Prepare, format, and proofread legal and business documents in accordance with Firm standards
  • Maintain client and matter records, including filing and records coordination
  • Assist with e-filing documents in state and federal courts (training provided as needed)
  • Help coordinate travel, meetings, and video conferencing logistics
  • Provide team support and assist with overflow work as needed
  • Maintain confidentiality of all Firm and client information

QUALIFICATIONS

  • Two (2)+ years of administrative experience required; legal or professional services experience preferred
  • Basic understanding of legal terminology and processes, or ability to learn quickly
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational, communication, and time-management skills
  • Detail-oriented with the ability to manage multiple tasks and deadlines
  • Strong client service mindset and willingness to take initiative
  • Exposure to billing or legal workflows is a plus, but not required
  • Associate or bachelor’s degree preferred

HOURS

Monday–Friday, 9:00 a.m. to 5:30 p.m., with flexibility to adjust schedule and work additional hours as business needs require.
