The opportunity

As part of the Assets & Compliance team, you will contribute to the effective delivery of compliance, contracts and operational requirements by providing high-quality administrative support. This includes the coordination and management of procurement documentation and processes, development and maintenance of administrative systems and records, and the analysis and reporting of compliance data to support informed decision-making. You will also be responsible for coordinating compliance-related communications, including managing shared inboxes and stakeholder correspondence, as well as supporting contract administration activities. In addition, you will provide general administrative support across compliance, contracts and system-related functions, ensuring accuracy, consistency and alignment with organisational standards and regulatory obligations.

Your high-level duties will include:

  • Coordinating mobilisation activities, including tracking key milestones, documentation readiness, and stakeholder communications
  • Managing and maintaining compliance documentation such as SWMS, MOPs, permits, and assurance records within designated systems (e.g. SharePoint)
  • Supporting procurement processes, including raising purchase requests, maintaining procurement documentation, and liaising with vendors and internal teams
  • Assisting with contract administration, including document control, variations, and record keeping
  • Monitoring compliance requirements and deadlines, ensuring all pre-start and ongoing obligations are met
  • Analysing compliance reports and data to identify gaps, trends, and areas requiring follow-up
  • Coordinating compliance-related communications, including managing inboxes, distributing key updates, and ensuring stakeholders are informed of requirements and timeframes
  • Supporting audits and assurance activities by preparing documentation, tracking actions, and maintaining evidence registers
  • Maintaining accurate records across systems and ensuring version control and document integrity
  • Providing general administrative support across systems, compliance, and operational processes
  • Under limited supervision, undertake a range of administrative tasks in accordance with established procedures.
  • Apply discretion as required in selecting the most appropriate method and sequence of completing tasks.
  • Recommend improvements to systems and procedures and implement any approved changes.
  • Perform other duties as directed.

Role particulars

Location and office arrangements: Canberra, Melbourne, Sydney, Brisbane, Adelaide, Hobart, Perth, Darwin and Geelong ACDP (remote options may be considered)

Salary: AU$76k – AU$96k per annum (pro rata for part-time), plus 15.4% superannuation

Tenure & work schedule: 3 year specified term, full time

As the successful candidate, you will bring:

Essential

  1. Relevant trade certificate/diploma/bachelor’s degree or equivalent relevant work experience in Administrative Services
  2. Demonstrated experience providing administrative support in a compliance, procurement or contract management environment, including coordinating documentation, processes and records in line with organisational and regulatory requirements.
  3. Strong organisational and coordination skills, with the ability to manage competing priorities, track milestones and ensure timely completion of compliance activities and documentation.
  4. Proven ability to maintain accurate records and administrative systems, including document control, version management and ensuring data integrity across platforms (e.g. SharePoint or similar).
  5. Ability to analyse and interpret data and communicate effectively with stakeholders, including preparing reports, identifying trends or gaps, and managing correspondence to support informed decision-making.
  6. Proven ability to work independently as well as collaboratively within a team environment.
