Role
The Asset Coordinator is responsible for managing the full lifecycle of IT assets across the organization, ensuring devices are accurately tracked, properly provisioned, maintained, and retired in alignment with company standards. This role serves as the operational backbone for device inventory, supporting IT, security, procurement, and end users by maintaining visibility and control over all hardware assets.
Responsibilities
Asset Lifecycle Management
- Track all IT assets from procurement through disposal
- Maintain accurate inventory records (serial numbers, assignments, locations)
- Coordinate device provisioning, reallocation, and decommissioning
Inventory & Systems Management
- Maintain asset records in asset management systems (e.g., IT Glue, Freshservice, CMDB)
- Perform regular audits to ensure inventory accuracy
- Reconcile discrepancies between physical inventory and system records
Procurement & Logistics
- Coordinate ordering of hardware with approved vendors
- Manage device receiving, tagging, and staging
- Ensure devices meet standardized configurations before deployment
Device Provisioning & Recovery
- Prepare devices for new hires and replacements
- Coordinate device returns from offboarding employees
- Ensure proper wiping and re-provisioning of returned devices
Standardization & Compliance
- Enforce device standards (approved models, configurations)
- Ensure assets meet security and compliance requirements (encryption, MDM enrollment)
- Support audit readiness by maintaining clean and complete records
Cross-Functional Coordination
- Work with IT, HR, and Facilities on onboarding/offboarding workflows
- Support Help Desk with asset-related issues and tracking
- Coordinate with vendors for warranty and repair services
Requirements
Experience
- 1–2 years in IT support, asset management, or operations
- Experience with asset tracking systems or ITSM tools
Technical Skills
- Familiarity with:
- Asset management platforms (IT Glue, ServiceNow, Freshservice, etc.)
- MDM tools (Intune, Jamf, NinjaOne, etc.)
- Basic hardware troubleshooting (laptops, peripherals)
- Understanding of device lifecycle processes
Operational Skills
- Strong organizational and inventory management skills
- Attention to detail and accuracy
- Ability to manage multiple requests and priorities
Soft Skills
- Clear communication across teams
- Ability to follow and enforce standardized processes

Inventory Accuracy
- ≥ 98–100% accuracy between system records and physical assets
- Minimal discrepancies during audits
Provisioning Efficiency
- Devices ready for new hires within defined SLA (e.g., 24–48 hours)
- Reduced delays in onboarding due to asset availability
Asset Visibility
- Real-time visibility into:
- Assigned vs unassigned devices
- Device location and status
- Clean, up-to-date asset records
Lifecycle Control
- 100% of devices tracked from procurement to disposal
- Proper wiping and re-provisioning of all returned devices
Cost Optimization
- Reduced unnecessary purchases through reuse of existing assets
- Improved forecasting of hardware needs
Compliance & Security
