Assessment Coordinator

• Salary: Circa £30,000 per annum (depending on experience)
• Job Type: Permanent, full-time, 37.5 hours per week
• Location: IB Global Centre, Cardiff
• Hybrid working: one day per week (minimum) to be working from the Cardiff office, plus additional days as required for planned meetings

About the Job

The Assessment department is one of the largest within the IB, playing a critical role in delivering global examination sessions and supporting the organisation’s reputation. This role ensures effective coordination with key stakeholders by providing high-quality materials, services and support.

The Assessment Coordinator is responsible for planning and delivering logistics for key assessment events, including subject strategy meetings and Chief Examiner conferences. These events involve several hundred external participants each year and take place in Cardiff and at locations across the UK and internationally. The role also oversees hospitality and participant experience, ensuring smooth delivery and resolving any on-site issues.

Working closely with internal teams such as Assessment, Global Travel, Facilities and Finance, as well as external partners including BCD Travel and event venues, the postholder will manage travel, accommodation and event arrangements. Responsibilities include overseeing event-related expenditure, monitoring bookings in line with IB policies, and supporting budget tracking and reporting. The role also ensures timely processing of participant payments and travel expenses.

In addition, the role provides support to wider operational activities within the Assessment function.

Key Responsibilities

  • Coordinate and deliver logistics for assessment meetings, both onsite in Cardiff and at UK/international venues
  • Work collaboratively with internal teams (Assessment, Global Travel, Facilities, Finance) and external partners including BCD Travel and event venues

  • Plan and manage meeting schedules, calendars and all logistical arrangements, including travel, accommodation, rooms, catering and IT requirements

  • Oversee participant bookings, ensuring compliance with IB travel and expense policies, and support timely processing of fees and expenses

  • Act as a key point of contact for participants, providing responsive support and resolving queries

  • Manage off-site event arrangements, including supplier liaison, contract negotiation and billing setup

  • Monitor and track event budgets, including managing event-related spend

  • Gather feedback and identify opportunities to improve processes and participant experience

  • Provide broader operational support across the Assessment function

About You

  • Educated to Level 3 in related field (e.g. Hospitality, travel/tourism) (or equivalent) or relevant experience in a similar role

  • Strong communication skills, with the ability to build effective relationships across diverse teams and stakeholders

  • Confident handling complex, sensitive or technical information

  • Highly organised, with excellent time management and the ability to prioritise effectively in a fast-paced environment

  • Proactive and able to work independently, using initiative to solve problems

  • Strong attention to detail, with an analytical and solution-focused mindset

  • Experience managing multiple tasks and deadlines with accuracy and efficiency

  • Good working knowledge of Microsoft 365, particularly SharePoint and cloud-based tools

Desirable

  • Experience of working in a customer service environment and/or in the travel industry.
  • Multi-lingual language skills; with a preference for Spanish and/or French.
