GENERAL DESCRIPTION

Assist Business Management / Market Head / Team Head in managing a team of Assistant Relationship Manager (ARMs) to drive consistent practices & enhance staff engagement (including but not limited to LIFRR/EVP activities/ career development of ARMs) and to provide administrative support on team matters.

MAIN DUTIES

ARM Management

  • Manage a team of Assistant Relationship Managers to:
    • Provide administrative and client service support to Relationship Managers servicing Private Banking clients.
    • Respond to all client enquiries and instructions and provide resolution to most issues and requests.
    • Ensure adherence to internal and external regulations and policies at all times.
    • Understands the basic mechanisms of common financial products and services.
  • Provide trainings, mentorship and guidance to ARMs to ensure that they are competent to carry out the work.
  • Ensure team is adequately staffed and able to deploy team members to provide and meet fluctuation in work volume, coverage for leave and work emergencies.
  • Enhance staff morale and career development through active staff engagement & review staff training needs.
  • Calibration of performance/recommendation of promotion.

Team Administrative Support

  • Provide support to MH/THs for pipeline management.
  • Act as a single point contact representing front office to coordinate with stakeholders for all dissemination related activities.
  • Proactively review and enhance processing workflow to achieve improvement in operational efficiency, and servicing quality.
  • Investigate and provide resolution on queries and ensure proper closure on issues raised.
  • Timely consolidation and preparation of management reports for Front Office team and the Business Managers.
  • Provide guidance and support to the team for ensuring compliance with the Operational risk framework, policies, procedures and guidelines.
  • Coordinate and support in various Front office activities (e.g. Business continuity, reporting and administrative matters).
  • Handle administrative duties including scheduling of appointments, preparing correspondences, making travel arrangements, arranging meetings and receptions, producing presentation materials for MH.
  • Provide administrative support for all team’s related matters including proper record keeping.
  • Follow up on the team’s account reviews, portfolio reviews, credit reviews, outstanding documentations (eg documentation discrepancies, W8 refresh, CRS, FATCA remediation, tax declaration, credit documentation, mandatory documentation remediation), daily downgrade and monthly mismatch reports and other various remediation exercises etc. for various management reporting:
    • To facilitate BM/MH to pass the Front Office audit by assisting in pre-audit health check/audit exercise; ensure the pre-audit health check findings and audit observations are rectified and completed within stipulated timeframe.
    • Coordinate with Product Groups, Operations and other functional areas as necessary.

JOB REQUIREMENTS

  • Bachelor degree or diploma from reputable institutions.
  • Minimum 8 years of relevant experience in client servicing, operations or sales support within financial institutions.
  • Strong understanding of financial products and services.
  • Excellent interpersonal, communication and client interfacing skills.
  • Prior experience mentoring and coaching team members.
  • Possess future oriented mindset, strive to innovate and adapt to changes.
  • Strong understanding of inter-dependencies within the team and able to collaborate effectively across departments.
  • Ability to thrive in a fast paced environment and remain empathetic, passionate and resilient.
  • Relevant HKMA/SFC license (e.g. Type 1 and/or 4) required.
  • Preferable for candidates with HKIB Enhanced Competency Framework (ECF) professional qualification.
