GENERAL JOB DESCRIPTION

The Accounts Receivable Coordinator is responsible for executing routine accounting tasks related to accounts receivable management. Key duties include providing financial, clerical and administrative services to ensure efficient, timely and accurate payment of accounts under his or her control. Ability to positively impact company cash cycle, increase cash flow, reduce DSO, reduce bad debt and write offs. Additionally, the Coordinator will communicate with customers and subcontractors via email and phone, as well as, work closely with Project Managers and other key staff to address questions and issues related to client, vendor, and subcontractor receivables.

DUTIES & RESPONSIBILITIES

  • Prepare monthly AIA (G702/G703) pay applications for submission to owners, ensuring compliance with contract terms and accuracy in financial reporting.
  • Review AIA contracts and accurately input relevant data into the ERP system for efficient tracking and management.
  • Manage the collection and distribution of lien waivers from subcontractors and suppliers to mitigate potential claims.
  • Assist in receiving and tracking subcontractor and supplier preliminary notices and lien release requirements to ensure compliance.
  • Prepare and maintain various financial reports to support management decision-making and project tracking.
  • Research and resolve payment discrepancies by collaborating with project team.
  • Conduct account research and analysis to enhance financial accuracy and reporting efficiency.
  • Identify and implement necessary process adjustments to improve workflow and operational efficiency.
  • Process and follow up on urgent items to ensure timely resolution of financial matters.
  • Maintain accurate accounts receivable files to facilitate audits and financial reviews.
  • Undertake special projects as assigned to support departmental objectives and enhance overall operations.
  • Assumes additional responsibilities and additional assignments per supervisor’s direction.



Qualifications

EDUCATION & TRAINING

  • High school diploma, GED, or equivalent accounts receivable experience preferred.
  • Knowledge of basic accounting principles

KNOWLEDGE & EXPERIENCE

  • Minimum 2 years of account receivable experience preferred
  • Proficient Microsoft Office knowledge and skills
  • Data entry keyboarding skills with a high degree of accuracy
  • Prior experience with Viewpoint and/or GC Pay is a plus, but not required

  • Possess excellent communication skills (both oral & written) with co-workers, management, clients, and others in a courteous and professional manner.
  • Able to quickly learn new technologies, programs, and databases.
  • Possess excellent analytical and reasoning skills; ability to think ahead/troubleshoot. Remove obstacles before they become problems.
  • Requires strong attention to detail.
  • Ability to manage multiple tasks efficiently, prioritize effectively to meet deadlines, and demonstrate strong organizational skills.
  • Possess ability to be a self- starter; resourceful, dependable, and accountable.
  • Build and maintain favorable working relationships with clients and other team members.
