Examples of duties

  • Coordinates and schedules specialized departmental functions, meetings, and travel
  • Oversees an administrative unit's record management systems and databases
  • Serves as lead staff

  • Attends meetings to represent the department

  • May perform research regarding grants and external sources of funding

Essential functions of this position include but not limited to: sitting, walking, standing, crouching, stooping, kneeling, reaching, bending and crawling for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying etc.; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.

Qualifications

Four years of progressively responsible administrative or clerical experience; OR, Associate’s degree and three years of progressively responsible administrative or clerical experience; OR, Bachelor's degree and two years of progressively responsible administrative or clerical experience; OR, Any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.

Preferred Qualifications:

  • Experience researching, compiling, and evaluating information from multiple sources, records, or computer systems.
  • Experience managing multiple assignments or workflows with competing priorities and established deadlines.
  • Experience performing detailed records management, data entry, document processing, or other work requiring a high degree of accuracy.
  • Ability to read and interpret maps, building plans, construction documents, property sketches, aerial imagery, or similar technical information.
  • Proficiency with Microsoft Office applications and demonstrated ability to learn specialized software, database, and records-management systems.
  • Experience communicating professionally with customers or members of the public to obtain information, answer questions, or coordinate service

The ideal candidate is highly organized, detail-oriented, self-directed, and comfortable managing multiple priorities and workflows simultaneously. They have strong research and problem-solving skills, exercise sound judgment, and can independently determine what information is relevant to completing an assignment.

Prior appraisal experience is not required. The ideal candidate will bring strong organizational, research, computer, communication, and problem-solving skills and demonstrate the ability to quickly learn specialized processes and systems.

The successful candidate is comfortable working with detailed records and information from multiple sources, learning new systems and technical processes, and maintaining accuracy while working toward established deadlines. They are collaborative and communicate effectively with coworkers and the public, while also being capable of working independently with limited day-to-day direction.

This position is non-exempt from overtime.
