40Under the general supervision of the Manager of Application Services, the Administrative Assistant III provides advanced, transactional administrative support to department leadership while coordinating day-to-day business and application support activities for assigned departments. Working within established policies and workflows, the role exercises sound judgment within defined guidelines and does not set policy, commit organizational funds, or supervise staff. Core responsibilities include complex scheduling, documentation, data entry, records maintenance, and cross-team coordination; partnering with end users, IT teams, and vendors to track service requests; and supporting system implementation and optimization efforts through meeting logistics, materials preparation, user communications, and basic testing/documentation support—helping improve system usability and performance.

Job Requirements, Prerequisites and Essential Functions:

Job Specifications:

Education:

  • High school diploma or equivalent required; associate’s degree preferred.
  • Bachelor’s degree in business/health administration/IT preferred, not required.

Experience:

  • 3+ years of progressively responsible administrative support, ideally in healthcare or a complex, multi-site setting.
  • Exposure to healthcare information systems and working with IT/Application teams preferred (e.g., assisting with user communications, training logistics, ticket triage).

Skills Preferred (IT-focused, not required):

  • Workday (HCM/expenses/requisitions), Teams/SharePoint; ticketing/service-request routing.
  • Basic meeting/room A/V support using scripts/guides; simple Excel lists/filters/pivots.
  • SQL/reporting exposure: ability to run approved/templated queries and reconcile standard outputs; familiarity with Epic Clarity concepts helpful.
  • Reporting collaboration: ability to translate business/clinical needs into clear reporting requests/specifications for analysts; experience assisting with validation of data extracts and reports using SQL/Clarity and enterprise tools (e.g., Power BI, Crystal) is a plus.
  • Advanced Microsoft 365 (Outlook, Word, Excel, PowerPoint); professional formatting, proofreading, and document management.
  • Strong organization, attention to detail, confidentiality, and customer service.
  • Comfortable coordinating across clinical/administrative teams and vendors; able to follow established procedures and escalate appropriately.

Licensure:

  • Valid California Class C driver’s license if role requires inter-campus travel (otherwise not required).

Essential Functions (performed under established procedures):

  • Manage calendars, meetings, and logistics; arrange travel and reimbursements per policy.
  • Prepare, proof, and format correspondence, reports, presentations, training/change-control materials.
  • Enter/maintain data in approved systems (e.g., Workday, shared drives) with high accuracy; file/retrieve records per retention and privacy (HIPAA/PHI) standards.
  • Open, track, and route tickets/service requests; monitor status to closure; maintain issue logs.
  • Process standard transactions (supply orders, invoices, timekeeping support) within authorized limits.
  • Coordinate onboarding/offboarding checklists and access requests per workflow.
  • Support basic meeting/room A/V; troubleshoot routine office tech via guides; escalate to IT as needed.
  • Reporting support (under direction): schedule/reporting requests, gather requirements, produce user-friendly request specs, run approved/templated SQL queries or standard Clarity-based reports as instructed, perform basic data validation/reconciliation, record outcomes, and escalate discrepancies to analysts.
  • Assist Application Services with implementation/optimization logistics (session scheduling, action-item tracking, UAT signoffs, document control).
  • Maintain process documentation, checklists, and desk guides; flag errors and recommend fixes through defined channels.
  • Provide courteous, professional customer service to internal and external stakeholders.

Compensation:

The posted pay range complies with applicable law and reflects what we reasonably expect to pay for this role. Individual pay is set by skills, experience, qualifications, and internal/market equity, consistent with MarinHealth’s compensation philosophy. Positions covered by collective bargaining agreements are governed by those agreements.
