Job Description

We are seeking an organised, proactive, and detail-oriented Mortgage Administrator & Client Support specialist to join Mortgage Style as a dedicated remote team member.

Mortgage Style is an established UK mortgage brokerage with an experienced adviser and administration team. This role combines practical mortgage case progression with warm, professional client contact—ensuring incoming customer enquiries are met with a prompt, welcoming response while keeping existing mortgage applications moving smoothly behind the scenes.

As you gain experience and complete training, there will be scope to expand your responsibilities into more complex mortgage administration. This is an excellent opportunity to work closely with an established UK team, managing daily pipelines and delivering an exceptional client experience.

Key Responsibilities

Mortgage Case Progression

• Queue Management: Work through the daily case queue systematically and follow up on all outstanding actions.
• Third-Party Chasing: Proactively contact lenders, valuers, and solicitors to keep mortgage applications progressing efficiently.
• Pipeline Monitoring: Monitor case updates, maintain meticulous records, and flag delays or missing information promptly.
• Team Support: Provide reliable operational assistance to the UK administration team during peak periods and holidays.

Inbound Enquiry Handling & Client Booking

• Prompt Response: Respond swiftly to incoming website and digital marketing enquiries.
• First Impression Calls: Conduct initial, welcoming phone conversations with potential clients and arrange appointments with mortgage advisers.
• Focused Communication: Keep initial discussions focused strictly on contact and booking, leaving regulated advice to the advisers.
• Lead Tracking: Record all contact attempts, outcomes, and scheduled appointments in the GoHighLevel CRM system.
• Nurture Follow-Ups: Maintain timely follow-ups with prospective clients who are not yet ready to proceed, following agreed processes.

Requirements

Required Skills & Experience

• Mortgage & Financial Knowledge: Familiarity with the UK mortgage process or prior administration experience in financial services is highly desirable.
• Communication Skills: Exceptional spoken and written English with a clear, natural, and confident telephone manner.
• Case Management: Strong organisational skills and high attention to detail, with a proven ability to manage multiple cases simultaneously.
• Proactive Drive: Highly self-motivated in following up on outstanding tasks and acting quickly on time-sensitive incoming enquiries.
• Tech & CRM Familiarity: Comfortable learning and using cloud-based platforms and maintaining accurate data; GoHighLevel experience is a plus.
• Independent & Professional: Able to work autonomously from home while collaborating seamlessly with a UK-based team, maintaining strict confidentiality with client financial data.
