Job Description

This is an alternate position, and will only be officially onboarded should the already identified primary candidate withdraw from consideration or be deemed unfit for deployment.

The McMurdo Area Management Senior Administrative Coordinator will be responsible for a broad range of administrative and organizational support functions while deployed to McMurdo Station as part of the Antarctic Support Contract (ASC). This position will primarily support the on station office of the National Science Foundation (NSF).

*** This position is seasonal, and employment is only provided during the deployment period in Antarctica (approximately 20 weeks/year). The candidate in the position must complete the physical and dental examinations required by the NSF for deploying to Antarctica. ***

Due to contract requirements, US Citizenship is required.

Must obtain a Public Trust security clearance prior to start date. This process could take up to 4 months.

The anticipated salary range for this role is $60,000 - $64,000 annually, along with a percentage increase for deployment to Antarctica.

About the Antarctic Support Contract:

Leidos Antarctic Support Contract (ASC) is the prime contractor to the National Science Foundation (NSF) in support of the United States Antarctic Program (USAP). Leidos supports the NSF’s Office of Polar Program’s Antarctic Infrastructure and Logistics by aligning with their Mission and Vision Statements:

  • Vision: Expanding our scientific reach in Antarctica through increased operational and logistical effectiveness.

  • Mission: To provide the operational and logistical platform necessary for the U.S. to conduct world-class science in Antarctica and maintain its active and influential presence on the continent.

Leidos ASC provides science and logistics support for approximately 150 science and technical events across three geographically remote research stations; McMurdo Station, Palmer Station, and South Pole Station and several deep field sites across Antarctica. Each station or field site supports world class research across multiple science disciplines. The planning and implementation of science support requirements in Antarctica is a critical part of our mission.

The Challenge:

  • Responsible for providing administrative support to ASC area management, senior leadership and McMurdo Station functional areas as required.

  • Actively support ASC programmatic goals, deliverables, metrics and contractual obligations.

  • Duties to include meeting scheduling and meeting facilitation.

  • Act as a point of contact for ASC area and station management

  • Proactive problem solving, information management and documentation.

  • Provide clear, timely and professional communication with ASC and The National Science Foundation (NSF) and external agency personnel.

  • Ensure professional management of confidential information, situations and documentation in accordance with all applicable policies, regulations and laws.

  • Physical activities require standard office-based tasks and occasional lifting in accordance with current Environmental, Health, and Safety (EH&S) policies

  • Perform other duties as required and applicable including but not limited to:

  • Support Emergency Operations Center (EOC) recorder role on a rotating 24/7 on-call basis.

  • Record, collate, edit, authorize and distribute meeting minutes.

  • Request, collate, edit and publish station reports on a regular timeline.

  • Provide review and editing to policy and procedure documents.

  • Update and distribute key informational products including organizational charts, personnel rosters or phone lists.

  • Proactively manage office space allocation for all of ASC, including subcontractors

  • Assist in tracking ongoing projects, station trainings, tasks, and deadlines; follow-up as needed to ensure timely completion.

  • Provide station orientations, tours and support functions to newly arrived and/or distinguished visitor personnel.

What Sets You Apart:

  • High school diploma and 5+ years of prior related experience

  • Excellent written and verbal communication skills, with demonstrated experience developing briefings

  • Familiar with business, scientific and/or military documentation and correspondence

  • Must possess demonstrated professionalism, customer service focus, strong organizational and interpersonal skills

  • Proficiency in the Microsoft Office suite (MS Word, MS PowerPoint, Teams, Outlook, and MS

  • Excel) with particular emphasis on word processing, presentation, and spreadsheet applications.

  • Proficiency in Adobe Acrobat Pro

  • Experience with administering processes that ensured security and integrity of confidential, and/or controlled data in accordance with established procedures.

Physical and/or Other Requirements:

  • Willingness and ability to deploy to Antarctica for extended periods

  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica

  • Successful completion of drug screening and background check required by employer

  • Successful completion of Federal Background Check required by the NSF

  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.

  • Must be able to obtain and maintain facility credentials/authorization.

You May Also Have:

  • Previous Antarctic deployment to McMurdo Station

  • Related experience in a scientific, government, DOE, or military office setting.

Pay Range:

Pay Range $50,700.00 - $91,650.00
