Job Description

The Ancillary Support Coordinator provides comprehensive administrative and operational support services to ensure the efficient functioning of the administrative offices.

Required Certification: ServSafe® Food Protection Manager Certification.

  1. HIM
    • Ensures all records are properly maintained, secured and then discarded in the appropriate timeframes. Does all deficiency analysis to ensure compliance with HIM rules and regulations.
    • Ensures all policies and procedures for HIM are up to date and regulatory requirements are met. Provides physician support as a superuser for EPIC.
    • Ensures all release of records is done according to all existing rules and regulations.
  2. Safety
    • Emergency preparedness policies and procedures are current and assured through oversight.
    • Standards of Performance for all required forms of rounding are consistently met.
    • EOC and internal emergency preparedness committees are managed as demonstrated as functioning as committee chair including all relevant committee agenda, minutes and reports as evidenced by records.
    • Regulatory agency surveys and mock surveys reveal minimal or no obvious deficiencies to their standards.
    • Emergency Communication System is initiated through reliable communication systems (telephone, computer, faxes, 700 MHz radios, Ham Radios, etc.) with connectivity to LHA at State EOC in the event of disaster to collect vital facility information.
    • Emergency preparedness training is coordinated and implemented as demonstrated by successful emergency drills and safety surveillance.
    • EOC meetings are conducted at least quarterly, performs EOC/safety rounds monthly, performs Fire drills once per shift per quarter.
  3. Dietary
    • Maintains clean/sanitary environment for main kitchen and patient nourishment areas.
    • Responsible for Office of Public Health sanitation inspections/compliance.
    • Responsible for ensuring all patient food items are properly stored according to food storage guidelines.
    • Responsible for purchasing and stocking items used in the main kitchen and patient nourishment areas.
    • Monitor refrigerators, freezers, microwaves and ice dispensers.
    • Responsible for dating all food items stored in both dietary areas and conducting dietary environmental rounds.
    • Works with contracted dietician to ensure proper compliance within the dietary realm.
  4. Marketing
    • Serve as marketing liaison with OLOL Marketing team to promote ACH and APC.
    • Work with local publications to ensure marketing materials are run according to agreed schedules.
    • Document hospital and clinic events for the purpose of promoting business activity.
  5. Community Benefit/CHNA
    • Organize, document and report out ACH's community participation for required CHNA.
    • Track expenses for the FY and log into reporting software.
    • Organize and champion health fairs other community events, sits on various community committees.
  6. Administrative/Committees/Other Department Assistance
    • Assist when needed in Administration, Lab and Patient access, Spirit Committee, and Member of Leadership Team for Assumption.

Experience, Education, Training, Special Skills, and Licensure

  • Experience: Five (5) or more years of administrative support experience in a complex healthcare system or similarly complex organization preferred.
  • Education: Associate degree or five (5) years of administrative experience may be considered in lieu of a degree.
  • Certifications/Licensure: Current ServSafe® Food Protection Manager Certification required.
  • Special Skills: Strong organizational, communication, and interpersonal skills with proficiency in Microsoft Office applications and the ability to manage multiple priorities in a fast-paced environment.
