The HR Data Management Analyst will be responsible for maintaining the accuracy, integrity, and confidentiality of HR data within Air Liquide Business Services Sdn Bhd's systems. This role plays a critical part in ensuring reliable HR information for reporting, analytics, and operational efficiency.
GBS HR Operations
Service Excellence & SLA Management: Manage the end-to-end lifecycle of assigned HR service requests, ensuring precise, timely execution in strict alignment with Service Level Agreements (SLAs) and performance targets.
Data Governance & Quality Assurance: Execute high-accuracy data updates and perform rigorous audits of employee records against source documentation to maintain the "Source of Truth" across all HRIS platforms.
Reporting & Actionable Analytics: Deliver scheduled and ad-hoc reports by extracting and validating data from various HR systems, providing stakeholders with accurate data to support business decisions.
Compliance, Privacy & Governance: Ensure 100% compliance with global data privacy regulations (e.g., GDPR), internal controls, and local statutory requirements through secure data handling and administration.
Continuous Improvement Mindset: Proactively identify and implement process enhancements to boost productivity, improve cost efficiency, and increase customer satisfaction in collaboration with the Team Lead / Manager.
Knowledge Management: Maintain and enhance operational documentation, including Job Aids, SOPs, and FAQs, ensuring they reflect current best practices and support accurate inquiry resolution.
Stakeholder Collaboration & Team Support: Partner effectively with internal stakeholders to understand local business requirements and provide cross-functional backup support to ensure uninterrupted service delivery.
Issue Resolution & Escalation: Promptly identify and escalate data discrepancies or operational bottlenecks, following through to resolution to ensure data integrity and process stability.
GBS HR Transition & Setup
Execute end-to-end employee master data migration, validation, and setup activities during Global Business Services (GBS) expansions. This role ensures the seamless, accurate, and compliant integration of new country scopes/business entities or HR services into the centralized GBS HR ecosystem.
Key Responsibilities includes:
Data Onboarding & Fit-Gap Analysis Review and map incoming country/entity legacy employee data against GBS master data templates to identify regional localization requirements and custom data fields.
Data Cleansing & Validation: Execute data profiling, formatting, and cleansing activities in partnership with local entity stakeholders prior to system migration to ensure data readiness.
Mass Data Migration: Prepare, validate, and execute error-free mass data uploads (e.g., via EIBs or data loaders) into the global HRIS system for newly onboarded employee populations.
System Testing & UAT Execution: Run system test scripts for newly added countries to verify data integration accuracy with downstream systems like local payroll, benefits, and downstream tools.
Data Privacy & Compliance Review: Audit all incoming data workflows to ensure strict adherence to regional statutory regulations (e.g., GDPR), internal data governance standards, and confidential access controls.
Change Coordination & Training Support: Assist in communicating change; support the trainings if required.
Transition Hypercare & Stabilization: Provide dedicated data troubleshooting, defect resolution, and remediation support during post-go-live window for newly transitioned entities / activities. Ensure documentations (Job Aids) are updated, reviewed and signed off for operations.
1-2 years experience in data management and reporting in a shared service centre environment, preferably in a HR services environment.
Strong communication skills in English, both written and spoken. Additional languages a plus.
Knowledge in usage of HR systems such as Workday & ServiceNow to perform the relevant employee data management and reporting activities.
Knowledge and skill in the use of Microsoft Office / Google suite of software.
High level of discretion and confidentiality with the handling of the employee data.
Knowledge of data privacy act and other data related regulations.
Experience to work collaboratively with various stakeholders.
Bachelor Degree in Shared Services Operations / Human Resource Management / Business Management or related.
