POSITION SUMMARY

The Analyst - Ambulatory Access provides analytic, operational, and system-level support for enterprise-wide healthcare scheduling initiatives to maximize patient care availability and streamline clinical workflows. This role operates under the general direction of the Director of Access Optimization. Through daily management of scheduling systems, workplans, and data analytics, this position directly drives operational efficiency, revenue cycle alignment, and patient satisfaction across all outpatient departments.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Project & Program Management: Develops, updates, and monitors complex project workplans, milestone tracking sheets, risk logs, and leadership status reports to ensure the execution, governance, and long-term sustainment of cross-functional ambulatory optimization initiatives (35% of time).
  • Provider Capacity & Template Optimization: Audits provider scheduling structures within the electronic health record system, executes change requests, and monitors utilization rates daily to maximize clinical capacity and align schedules with organizational standards (20% of time).
  • Scheduling, Referral Systems & Analytics: Analyzes daily referral work queues, extracts access performance metrics, and coordinates data-cleansing activities with clinical departments to ensure the accuracy of operational reports and patient lead-time tracking (20% of time).
  • Implementation & Sustainment Support: Coordinates post-implementation workflow reviews, documents operational feedback, and implements system adjustments during scheduled optimization cycles to transition newly launched clinical sites into steady-state operations (15% of time).
  • Epic & Cross-Functional Collaboration: Conducts system testing, documents user workflows, and coordinates system updates with the finance team to align scheduling practices with revenue cycle guidelines (10% of time).

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in healthcare administration, business, analytics, or related field
  • Minimum two (2) years’ experience in ambulatory access, patient access, healthcare operations, or project coordination
  • Or equivalent combination of education and experience

PREFERRED EDUCATION AND EXPERIENCE (If none, please enter “N/A”):

  • Experience in a large multi-specialty or academic/safety-net health system
  • Hands-on experience with Epic Cadence, Ambulatory, or Referrals
  • Experience supporting cross-functional initiatives or project management activities
  • Exposure to access performance improvement or workflow redesign initiatives

  • Epic certification in at least one application (or ability to obtain within 6 months)

  • Knowledge of ambulatory access workflows and provider capacity concepts
  • Strong organizational and project coordination skills
  • Ability to manage multiple concurrent workstreams and competing priorities
  • Strong problem-solving capabilities
  • Effective communication and stakeholder coordination skills
  • Ability to collaborate and coordinate deliverables across matrixed departmental teams Ability to translate complex work into structured plans and actionable tasks
  • Demonstrated ability to manage workplans, timelines, and multiple priorities
  • Strong analytical skills including Excel or BI tools

Primarily desk-based work with prolonged screen time. May require occasional early/late hours to support go-lives and stakeholder sessions; remote role with periodic on-site presence for design and training.

Compensation Range:

$53,000.00- $77,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
