This full-time position is located at the University of Colorado, School of Medicine (SOM), in the Academy of Medical Educators (AME), Office of Medical Education (OME). The AME engages and supports its 400+ members and the SOM’s 6000+ faculty through the development and delivery of professional development programs, awards opportunities, and community-building events.

The purpose of this position is to independently oversee the day-to-day operations and support the design, development and implementation of Academy of Medical Educators (AME) initiatives, including but not limited to the Scholarship in Education & Innovation (ScEI) Club, 18-month Teaching Scholars Program (TSP), bi-annual 3-week Residents and Fellows as Educators Elective, iTeach peer observation program, FacDev 2 U program, FacDev in 5 on-demand video series, and Spark Tank Med Ed Pitch Event & awards program. This role will provide professional, full cycle event planning and logistical support to AME programs, including monthly in-person workshops, monthly Education Grand Rounds series, quarterly networking event, annual Education & Innovation Symposium, annual new member induction ceremony, Faculty Travel Awards, and the Rymer Innovation Awards.

The AME Coordinator will support marketing, communications and outreach through the Academy Connections newsletter and annual membership survey. This role will also be responsible for managing data for the various programs to inform development of new programming, ensure continuous quality improvement, and contribute to scholarly efforts.

Key Responsibilities:

Professional Development Program Management and Strategic Operations (35%)

  • Lead the planning, implementation, evaluation, and continuous improvement of AME professional development programs, including recurring, annual, longitudinal, and on-demand educational offerings.

Program Operations

  • Develop and manage annual program calendars, schedules, timelines, and project plans.

  • Forecast program capacity, identify operational risks, and implement mitigation strategies.

  • Coordinate educational programming logistics, registrations, attendance tracking, and participant engagement activities.

  • Ensure seamless delivery of in-person, virtual, and hybrid educational programs.

Faculty and Speaker Management

  • Coordinate faculty and guest speaker recruitment, scheduling, communications, honoraria, materials collection, and post-session follow-up.

  • Partner with educational leaders to develop session objectives, learning activities, and participant engagement strategies.

Communications and Marketing

  • Develop and execute communication plans for educational programs and initiatives.

  • Manage program websites, announcements, newsletters, listserv communications, calendar invitations, and promotional materials.

  • Collaborate with institutional communications teams to maximize program visibility and participation.

Data Analytics and Program Evaluation

  • Establish and maintain program metrics, dashboards, and performance reports.

  • Analyze participation, engagement, and evaluation data to identify trends and opportunities for improvement.

  • Prepare reports and recommendations for AME leadership and stakeholders.

Governance and Strategic Support

  • Support AME leadership, executive committees, and working groups through meeting coordination, communications, project tracking, and implementation of strategic priorities.

  • Contribute to annual planning, program assessment, and educational innovation initiatives.

Educational Program Portfolio Management (30%)

  • Serve as the primary Academic Services Senior Professional for the Teaching Scholars Program (TSP) and Residents and Fellows as Educators Elective (RFEE).

Teaching Scholars Program (TSP)

  • Professionally oversee all aspects of program operations, including leadership meetings, cohort management, session delivery, participant communications, and program evaluation.

  • Coordinate 2–3 educational sessions per month, including speaker management, facilitation support, recording, breakout activities, and resource distribution.

  • Administer the annual application and selection process, including application development, marketing, committee review coordination, and applicant communications.

  • Oversee participant onboarding, progress tracking, graduation activities, and certificate distribution.

  • Analyze program outcomes and recommend enhancements to improve participant experience and educational impact.

Residents and Fellows as Educators Elective (RFEE)

  • Professionally oversee all operational and administrative aspects of the twice-yearly RFEE program.

  • Coordinate educational sessions, speaker engagement, attendance monitoring, communications, and learning resource distribution.

  • Administer application, selection, onboarding, and completion processes.

  • Develop and distribute program evaluation reports and presenter feedback summaries.

  • Collaborate with Graduate Medical Education (GME) partners to ensure program alignment and successful execution.

Membership, Awards, and Recognition Programs (15%)

  • Professionally oversee AME membership programs, educational awards, and innovation funding initiatives.

Membership and Awards Administration

  • Oversee application cycles, nomination processes, review committee coordination, applicant communications, and record management.

  • Maintain membership and award databases, tracking systems, and reporting records.

  • Coordinate stipend and award distributions in collaboration with business services and institutional partners.

Recognition and Engagement Activities

  • Lead planning and execution of new member induction ceremonies, recognition events, and award presentations.

  • Manage communications related to membership recruitment, award nominations, and recipient recognition.

  • Ensure timely and accurate documentation of all membership and award activities.

Innovation Award Programs

  • Coordinate proposal solicitation, application review processes, award tracking, and project reporting requirements.

  • Conduct ongoing follow-up with award recipients to monitor project progress and outcomes.

  • Prepare reports and summary updates for AME leadership and key stakeholders.

Educational Symposium and Special Projects (10%)

  • Lead planning and execution of the annual Education Symposium and other institutional educational initiatives.

Symposium Management

  • Develop comprehensive project plans and timelines for symposium activities.

  • Coordinate oral presentations, poster sessions, workshops, keynote speakers, awards, and networking events.

  • Manage abstract submission, review, acceptance, and feedback processes.

  • Oversee registration systems, event communications, evaluation tools, attendance tracking, and event logistics.

  • Prepare post-event reports summarizing participation, outcomes, and recommendations.

Special Projects

  • Oversee emerging educational initiatives and special projects as assigned.

  • Coordinate faculty facilitators and subject matter experts for requested workshops and educational activities.

  • Track project requests, outcomes, and resource utilization.

Technology, Data Management, and Process Improvement (5%)

  • Serve as administrator for educational technology platforms, registration systems, survey tools, and program databases.

  • Maintain accurate program records, participant data, and reporting systems.

  • Develop and document standard operating procedures and best practices.

  • Identify opportunities to improve workflows, participant experience, and operational efficiency.

  • Ensure compliance with institutional policies and data management standards.

General Administrative and Operational Support (5%)

  • Manage confidential records, files, purchasing activities, and operational documentation.

  • Support departmental initiatives and institutional priorities.

  • Perform other duties as assigned.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor’s degree in education administration, business administration, education organization, management, communications, or related field from an accredited institution.

  • Substitution A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.

  • 2 years of professional learning and development, academic, student, or educational services experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Master's degree in Education, Higher Education Administration, Business Administration,Organizational Development, Public Administration, Healthcare Administration, Psychology, or related field.

  • Five (5) or more years of program or project management experience in a complex professional environment.

  • Experience working within an academic medical center, health professions, education environment, or higher education institution.

  • Experience managing faculty development, continuing education, professional development, or educational scholarship programs.

  • Experience with event management, committee administration, and stakeholder engagement.

  • Experience developing reports, dashboards, and program evaluation metrics.

  • Experience analyzing and interpreting program data to support decision-making and continuous improvement.

  • Experience with educational and data management systems such as SharePoint, Qualtrics, Formstack, REDCap, SurveyMonkey, Articulate, Teams, Outlook, and related platforms.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $52,961 - $70,968
