Job Description
AMBUL CARE ADMSTN CRD 2 is a team player that work closely with others and who is flexible with the changing priorities of the department. This position is a self-reliant individual who coordinates urgent add-on request, assist with coordinating multiple exams on the same day for patients, and is knowledgeable of all exams scheduled in the Radiology Central Scheduling department. This position will work as part of a team and independently. This position will escalate any scheduling errors to AMBUL CARE ADMSTN SUPV 1 and work together to come up with solutions to these errors.
This position will be responsible for proactively following up with departments, providers, and patients regarding pending urgent add-on appointments. This position will also work with the PAR (Pre-Authorization Radiology), Radiology Billing, and referring departments to help resolve any scheduling issues. This position will assist the AMBUL CARE ADMSTN SUPV 1 with specific tasks, training, and special projects. This position must demonstrate the ability to preform all aspects of radiology scheduling with superior quality and resolve all outstanding scheduling questions.
AMBUL CARE ADMSTN CRD 2 will be a liaison for patients, clinics, radiologist, and referring physicians. Individuals will need the ability to think quickly and spontaneously and to adhere to policy.

Coordinate Urgent add-on and complex procedures
Email/call modality managers to ensure exams are scheduled correctly.
Work with ordering providers to get incorrect orders updated to the correct order.
Demonstrates the ability to follow up with referring providers and patients to close the loop on outstanding items
Act as a primary scheduling resource both within and outside of Radiology
Call patients that have been incorrectly scheduled and get them scheduled correctly.
Monitor “real time” workflow using call center application and escalate any workflow issues.
Effectively and clearly communicate any issues, concerns, or obstacles with the schedule.

Works closely with the PAR (Pre-Authorization Radiology Unit) and Radiology Billing office, creating referrals, HAR’s, converting exams, rescheduling exams/procedures due to insurance deferrals or pending peer2 peer
Pre-register all outpatients
Assures patient information is current and up to date
Uses Automatic Scheduling Module for the most current examination time.

Required Qualifications
- HS grad or equivalent w/four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
- Experience in Radiology and/or a combination of hospital experience and knowledge of Radiology
- Familiarity of clinic medical billing practices including coding, billing systems and documentation requirements. Knowledge of ambulatory care clinic practice management including patient care workflows and processes. Demonstrated understanding of medical terminology and clinical knowledge of clinic practice area.
- Strong communication skills; includes verbal, written and active listening. Ability to clearly and concisely communicate clinic rules and regulations.
- Demonstrated interpersonal skills with diverse staff and patients. Demonstrated ability to develop working relationships within clinical team.
- Proven organizational skills and the ability to effectively manage time and prioritize tasks. Takes initiative. Ability to meet tight deadlines and manage several projects simultaneously, respond rapidly to conflicting priorities, and handle tasks with high degree of accuracy.
- Ability to perform all commonly applicable functions in word processing and spreadsheet software. Skills in data management. Ability to use relevant healthcare and clinic operations information technology, including billing systems and medical record documentation.
Preferred Qualifications
- Working knowledge of medical center policies and procedures and related legislative, accreditation, licensing and compliance environments.
- Data analysis, research, and reporting skills.
