Job Summary/Objective

The Allergy Mixing & Compliance Manager is responsible for overseeing the daily operations of the allergy mixing laboratory, including the preparation of patient-specific allergy antigen vials, quality control, inventory management, documentation, and compliance. This position provides oversight and guidance to Allergy Mixing Technicians and ensures that all mixing processes, labeling, documentation, storage, transportation, and dosing information are completed accurately and consistently.

The ideal candidate will have a strong pharmacy background, preferably as a Certified Pharmacy Technician (CPhT), along with experience in medication preparation, compounding, laboratory operations, or allergy antigen mixing. This individual must have exceptional attention to detail and a strong understanding of compliance, documentation, and quality-control processes.

Essential Job Functions

  • Oversees the day-to-day operations of the allergy mixing laboratory, ensuring patient-specific antigen vials are prepared accurately and according to established protocols.
  • Reviews allergy lab orders for completeness, accuracy, and appropriate mixing instructions prior to preparation.
  • Oversees and/or performs the mixing of patient-specific allergy antigens and ensures each component is accurately documented in the mixing room database.
  • Assigns and verifies unique vial identification numbers based on the patient's medical record number and vial sequence.
  • Ensures vial labels contain the required patient identification information, unique vial number, clinic location, and other required information.
  • Oversees preparation and distribution of patient identification cards.
  • Ensures all vial information is accurately entered into eClinicalWorks (ECW), including vial number, number of doses, expiration date, dosing instructions, date, and preparer's initials.
  • Ensures appropriate double-check/validation processes are followed, including review of vial components and dosing information by the Allergy Nurse.
  • Maintains accurate records of all antigen components, lot information, expiration dates, doses, and vial preparation.
  • Oversees the creation of appropriate billing claims and entry of charges into ECW for allergy vials.
  • Coordinates the proper transport and distribution of allergy vials between testing and treatment locations.
  • Maintains accurate documentation when vials are transferred between locations.
  • Conducts regular inventory audits at each location, including verification of:
  • Remaining doses
  • Expiration dates
  • Vial inventory
  • Storage conditions
  • Refrigerator temperature logs
  • Runs weekly reports and identifies discrepancies, expired products, missing documentation, or other compliance concerns.
  • Establishes and maintains standardized procedures for allergy mixing, documentation, labeling, storage, and distribution.
  • Provides training, direction, and oversight to Allergy Mixing Technicians and ensures staff are following established procedures.
  • Monitors staff competency and identifies opportunities for additional training or process improvement.
  • Performs routine quality-control checks and works with clinical leadership to resolve discrepancies or errors.
  • Ensures appropriate documentation is maintained for audits, quality assurance, and regulatory/compliance purposes.
  • Works closely with Allergy Nurses, physicians, clinic leadership, pharmacy personnel, and other departments to ensure safe and efficient allergy operations.
  • Identifies opportunities to improve efficiency, accuracy, inventory management, and compliance within the allergy mixing process.
  • Ensures patient information and protected health information are handled in accordance with company policies and HIPAA requirements.
  • Upholds Elevate's Code of Conduct and compliance policies.
  • Performs other duties as assigned.

Leadership & Compliance Responsibilities

  • Serve as the primary operational resource for allergy mixing processes and procedures.
  • Maintain consistent mixing and documentation standards across locations.
  • Identify and escalate potential safety, quality, documentation, or compliance issues.
  • Maintain appropriate records and documentation to support internal and external audits.
  • Ensure all staff involved in allergy mixing understand and follow established procedures.
  • Work with leadership to develop and update standard operating procedures (SOPs) as processes change.
  • Conduct periodic audits of mixing records, inventory, labeling, expiration dates, and ECW documentation.
  • Investigate discrepancies and implement corrective actions when necessary.

Required Education & Experience

  • High School Diploma or GED required.
  • Certified Pharmacy Technician (CPhT) strongly preferred; required for highly qualified candidates being considered for the management-level role.
  • 3+ years of pharmacy, medication preparation, compounding, allergy mixing, or related healthcare experience preferred.
  • Experience working in a regulated healthcare, pharmacy, laboratory, or medication preparation environment.
  • Previous experience supervising, training, or overseeing other technicians strongly preferred.
  • Previous experience with allergy antigen mixing is highly preferred.
  • Experience with electronic medical records; eClinicalWorks (ECW) experience preferred.
  • Strong understanding of medication/antigen preparation, labeling, inventory control, documentation, and quality assurance.

Preferred Qualifications

  • Certified Pharmacy Technician (CPhT)
  • Previous pharmacy compounding experience
  • Previous allergy antigen mixing experience
  • Experience in a clean/controlled laboratory environment
  • Experience managing or supervising pharmacy technicians or medical staff
  • Experience with inventory management and medication expiration tracking
  • Experience with ECW or another electronic medical record system
  • Strong knowledge of compliance and quality-control procedures
