General Description and Classification Standards:

Reporting to the Airport Executive Deputy General Manager (EDGM), this position provides high-level executive assistance and special project support to advance enterprise priorities and ensure the effective coordination of the executive office.

The position serves as a trusted liaison between executive leadership, airport divisions, City departments, external partners, and other key stakeholders. Responsibilities include managing executive priorities, coordinating meetings and follow-up actions, preparing executive-level communications and briefing materials, and overseeing selected special projects and cross-functional initiatives.

The role combines executive administration, project coordination, research, analysis, and organizational follow-through. The position is expected to anticipate executive needs, maintain awareness of key organizational priorities, facilitate timely decision-making, and ensure assignments and commitments are tracked through completion.

Supervision Received:

Direction received is broad and focused on executive priorities, organizational coordination, and special initiatives. The position is expected to exercise considerable discretion, judgment, confidentiality, and independence while maintaining consistent communication with executive leadership regarding priorities, risks, deadlines, and emerging issues.

Essential Duties and Responsibilities:

  • Provide executive-level administrative and operational support to the EDGM.
  • Manages and coordinates executive priorities, commitments, calendar, meetings, correspondence, briefing materials, and follow-up activities.
  • Coordinates meetings, including agenda development, preparation of materials, documentation of decisions, assignment of action items, and tracking of follow-up activities.
  • Prepares presentations, briefing documents, reports, correspondence, summaries, and other communications.
  • Reviews incoming requests, correspondence, and organizational matters to identify priority items requiring EDGM attention, response, or delegation.
  • Tracks assignments, commitments, decisions, and deliverables originating from the EDGM office to ensure timely completion.
  • Lead or coordinate special projects, strategic initiatives, and time-sensitive assignments on behalf of the EDGM.
  • Develop project plans, schedules, milestones, status reports, and tracking mechanisms for assigned initiatives.
  • Identifies emerging issues, risks, scheduling conflicts, or organizational dependencies and elevates matters requiring EDGM attention.
  • Maintains appropriate discretion and confidentiality related to personnel, organizational, operational, financial, and executive matters.
  • Supports planning and coordination of executive engagements, leadership meetings, retreats, special events, presentations, and other organizational activities.
  • Develops and maintains tools, trackers, processes, and reporting mechanisms to improve organization and visibility across executive priorities.
  • Represents the EDGM in meetings or project discussions as assigned.
  • May perform other duties and special assignments as directed.

Decision Making

The position exercises significant discretion and independent judgment in managing executive priorities, coordinating sensitive matters, organizing assignments, and supporting special projects. The position is expected to evaluate competing priorities, determine appropriate follow-up actions, identify matters requiring escalation, and facilitate execution across multiple organizational areas.

Minimum Qualifications:

Education and Experience – Bachelor’s degree in related field and five (5) years of related work experience. This job requires mandatory in office work only.

Licensures and Certifications - None required in general.

Preferred Requirements - Masters degree in in Business/Public Administration, Finance, Public Policy, or other related field 8 or more years of project management, operations or consulting experience; experience in management, strategy or operational consulting preferred but not required; Project Management Professional (PMP) or related certification strongly preferred.

Lifting Requirements:

Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.

Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Heavy work: Exerting up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects.
