Job Description

Every day, enterprise decision-makers, potential Founding Members, investors, press, and research partners walk into a NeuraGym to see humanoid robots train for the first time. This experience - the demo - is often the moment that converts curiosity into commitment.

The Demo Coordinator is the person who makes every single one of those moments exceptional. You are the connective tissue between our visitors and our technology, between our team's travel needs and their ability to execute, and between the day-to-day operational chaos of a fast-scaling startup and a team that stays focused on what matters.

Your Mission

Own the full lifecycle of NeuraGym visitor experiences - from scheduling and preparation through execution and follow-up - while managing business travel logistics and providing operational team support that keeps the NeuraGym, PLA, and AI unit running smoothly.

Key Responsibilities — Demo Management

  • Plan, schedule, and coordinate all NeuraGym visitor events - including multiple daily Guest & Visitor Demos across Riederich, Munich, and future locations
  • Develop and maintain the NeuraGym demo playbook: standard visitor flow, robot demonstration sequences, Q&A preparation, follow-up materials
  • Coordinate internally with gym operators, teleoperators, and AI engineers to ensure robots, demo cells, and technical setups are ready for each visitor slot
  • Manage the visitor pipeline: intake requests, confirmations, pre-visit briefing materials, on-site reception, and post-visit follow-up
  • Track demo conversion metrics - from visit to qualified lead to Founding Member conversation - and share weekly reports with the Strategist and Growth team
  • Continuously improve the demo experience based on visitor feedback and conversion data
  • Coordinate special events: investor days, partner showcases, press tours, and academic visits (TUM, ETH partnerships)

Key Responsibilities — Travel & Team Operations

  • Manage all business travel for the NeuraGym, PLA and AI teams: flights, accommodation, ground transport, and visa requirements across EU, US, and APAC locations
  • Support calendar management, meeting coordination, and scheduling for senior NeuraGym, PLA, and AI team members
  • Assist with onboarding logistics for new team members joining across multiple locations
  • Maintain office and gym location operational supplies, vendor relationships, and facility coordination
  • Support preparation of internal and external presentations, briefing documents, and meeting materials

Your Profile

  • 2–4 years in event coordination, executive assistance, operations, or a customer-facing role in a tech or premium B2B environment
  • Exceptionally organized with the ability to manage multiple concurrent priorities without dropping the ball
  • Warm, professional communication style
  • Experience with travel management tools and calendar management platforms
  • Proactive problem-solver: you anticipate issues before they happen and fix them before anyone notices
  • Fluent in German and English; additional languages (Mandarin, Japanese) are an advantage
  • Genuine enthusiasm for robots and the NeuraGym mission - you will be the first impression for hundreds of visitors
