Job Role: AI and Automation Architect

Compensation range: $1,600 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: Our client is a growing Australia-based disability support organisation focused on helping individuals build independence, confidence, and stronger community connection through person-centred support services.

As the business enters a major growth phase, they are investing heavily in improving systems, operations, automation, and scalability. They are now looking for someone who can work closely with the Founder to help build and optimise the internal systems, workflows, and AI-assisted processes that will support the company’s next stage of growth.

We are seeking a Philippines-based contractor to support the design, implementation, and optimisation of AI-assisted workflows, automations, operational systems, and internal processes within a growing Australia-based service business.

This person will work directly with the Founder and CEO and will play a key role in helping scale the business over the next two years.

A major part of this role will involve helping build systems around Claude, ChatGPT, API-enabled workflows, automation tools, and AI-assisted operational processes. The business is actively investing in AI, automations, and scalable systems to reduce manual admin and improve overall operational efficiency.

The right person will help streamline onboarding, compliance visibility, scheduling, lead generation, internal workflows, and team adoption of AI tools.

This role would suit someone with experience in operations, automation, CRM administration, systems coordination, RevOps, technical support, advanced virtual assistance, API workflows, or AI implementation. You do not need to be a software engineer, but you should understand how systems connect, how APIs work practically, and how to use AI tools to improve business operations.

Key Responsibilities:

AI Workflow Development

  • Build and improve AI-assisted workflows using Claude, Claude Co-Work, Claude Code, ChatGPT, and related AI platforms
  • Create repeatable AI workflows for administration, compliance, onboarding, reporting, rostering, documentation, marketing, and content creation
  • Support the development of internal AI agents, assistant-style workflows, prompts, templates, and project spaces that reduce repetitive manual tasks
  • Identify opportunities where AI can improve operational efficiency, reduce bottlenecks, and support business scalability

Claude, Claude Code & AI Systems Build-Out

  • Work directly with the Founder and CEO to build practical business systems using Claude, Claude Co-Work, and Claude Code
  • Develop AI-assisted workflows for compliance documentation, onboarding, SOP creation, reporting, meeting summaries, social media content, and operational support
  • Use Claude Code and related tools to support lightweight scripts, automations, API-enabled workflows, and internal operational tools where appropriate
  • Help embed AI into the daily operating rhythm of the business to improve efficiency, visibility, and operational decision-making
  • Automation & Systems Integration
  • Build and maintain automations using Zapier, Make.com, n8n, or similar platforms
  • Connect business systems to reduce double handling, manual data entry, and operational bottlenecks
  • Support practical API-enabled integrations and workflow automation across multiple systems
  • Design scalable operational systems that support long-term business growth

CRM & Operational Systems Optimisation

  • Support optimisation of operational and CRM workflows including onboarding, rostering, scheduling, compliance, and operational reporting
  • Improve workflows across participant management, staff management, service delivery tracking, and internal operations
  • Help streamline lead capture, follow-up workflows, pipeline visibility, and internal notifications
  • Improve overall operational visibility, process consistency, and system reliability

SOPs, Documentation & Process Improvement

  • Create SOPs, process maps, workflow documentation, internal guides, and scalable knowledge bases
  • Document automations, Claude workflows, API connections, and operational systems clearly
  • Identify operational inefficiencies and recommend process improvements
  • Build repeatable systems that reduce reliance on manual processes and individual follow-up

Team Enablement & AI Adoption

  • Train and support team members in using AI tools, prompts, templates, automations, and operational workflows effectively
  • Help improve the team’s confidence and capability with AI-assisted processes and systems
  • Support adoption of scalable workflows and operational best practices across the business
  • Communicate technical concepts clearly to non-technical stakeholders

Requirements

  • 3–5+ years of experience in operations, automation, systems coordination, CRM administration, technical support, AI implementation, or related roles
  • Experience with AI tools such as Claude, Claude Code, ChatGPT, or similar platforms
  • Familiarity with automation platforms such as Zapier, Make.com, n8n, or related tools
  • Practical understanding of APIs, workflow integrations, and systems automation
  • Strong organisational, documentation, and process improvement skills
  • Ability to work independently, solve problems proactively, and manage multiple priorities
  • Strong written English communication skills
  • Comfortable learning new systems, tools, and emerging AI technologies
