This role is responsible for designing, building, and maintaining intelligent automations across Flywheel’s Land, Accounting, Owner Relations, and Document Management systems. The AI Automation Analyst will remove manual, repetitive tasks burdening the core team, improve data quality and visibility, and free subject-matter experts to focus on high-value and strategic work.

The role partners closely with Land, Accounting, Operations, IT, and Digital teams to identify automation opportunities, translate business requirements into scalable solutions, and continuously improve the reliability and intelligence of Flywheel’s operational workflows. Key Responsibilities

Automation

• Partner with key stakeholders to identify, scope, and implement automation solutions across Flywheel systems and workflows to eliminate manual tasks and reduce processing time.
• Build and maintain AI-assisted workflows and process automations to improve execution efficiency and accuracy across Flywheel’s systems.
• Integrate Flywheel systems using API connections, data pipelines, and workflow orchestration tools.
• Evaluate and recommend emerging AI tools, large language model (LLM) applications, and robotic process automation (RPA) platforms.
• Support the evaluation and implementation of automation technology solutions, including AI-enabled platforms.
• Monitor deployed automations for errors, exceptions, and performance degradation; build automated alerting and self-correcting logic (retries, fallbacks, exception queues) rather than relying on manual log review and continuously improve reliability.

Data Management

• Develop and document standard data models, analytical methodologies, and automation logic to support knowledge transfer and auditability.
• Stay current with AI, automation, and data engineering trends and recommend new capabilities that align with Flywheel’s growth strategy.
• Maintain thorough documentation of automation logic, data flows, system integrations, and operational runbooks.
• Partner with IT and Digital teams on data governance, access controls, and security requirements for automated workflows handling sensitive ownership and financial data.
• Support acquisition onboarding by automating data normalization, validation, and migration tasks.

Qualifications

Required Qualifications

• 3+ years of experience designing and deploying AI-assisted process automations, workflow integrations, or agentic pipelines in a business operations context.
• Hands-on experience building with LLM APIs (OpenAI, Azure OpenAI, or similar) — including prompt design, structured data extraction, and evaluating output reliability/accuracy for production use.
• Experience with unstructured document processing — OCR/LLM-based extraction from contracts, title opinions, division orders, or similar business documents.
• Hands-on experience with Python or similar scripting languages for data processing, API integration, and automation development.
• Ability to manage multiple automation workstreams simultaneously in a fast-paced, acquisition-driven environment.
• Demonstrated proficiency with data warehouses, data lakes, and automation/orchestration platforms.
• Strong understanding of data quality principles, ETL processes, and relational data structures.
• Experience integrating systems via REST APIs, webhooks, or database connectors.
• Sound judgment on the limits of automation — able to identify when a process (e.g., ownership or legal determination) requires human review rather than full automation.
• Strong attention to detail with the ability to work with large, complex datasets and ensure accuracy.
• Excellent analytical and problem-solving skills with a structured approach to breaking down complex business processes.

Preferred Qualifications

• Advanced proficiency in data visualization and reporting tools (e.g., Power BI, Tableau), including AI-assisted dashboard generation.
• Experience in Land, Enterprise Resource Planning, Customer Relationship Management and Document Management software.
• Experience supporting acquisitions, divestitures, and large-scale data migrations.
• Familiarity with data governance frameworks and security requirements for sensitive operational and financial data.
