We are looking for an Advisor Support Coordinator to join our Store team. In this role you’ll be responsible for:

Appointment Preparation & Client Readiness

  • Prepare client profiles and relevant documentation so the advisor enters every appointment informed and ready
  • Review client purchase histories in CRM prior to each appointment to identify gaps, potential needs, and areas of interest — brief the advisor before the client arrives

Client Pickup Coordination

  • Contact clients for pickup appointments in coordination with each advisor's schedule, using the client's preferred communication method
  • Ensure deferred pickup standards and procedures are followed — coordinate client notification, confirm advisor availability, and prepare the pickup experience in advance
  • Communicate pickup status updates to the advisor and client as appropriate

In-Appointment Support

  • Participate in key appointments to extend the advisor's capacity — managing product pulls, floor logistics, POS processing, or documentation so the advisor remains focused on the client relationship
  • Support Connect, Curate, and Commit behaviors by ensuring the physical and logistical environment of the appointment reflects those standards
  • Handle POS transactions accurately on behalf of the advisor when required

MTM, Special Order & IST Follow-Up

  • Own the follow-up process for all Made-to-Measure, Special Order, and Inter-Store Transfer items for assigned advisors
  • Track outstanding items against established timelines and proactively resolve or escalate before they become client-facing issues
  • Communicate status updates to the advisor and to clients as appropriate, using the client's preferred channel

Tailorshop & Logistics Liaison

  • Serve as the primary point of contact between assigned advisors and the tailorshop — communicating alteration details, turnaround expectations, and any client-specific requirements
  • Liaise with Logistics to support deliveries — tracking, coordinating, and communicating status to the advisor and client as needed
  • Follow up on outstanding alterations and escalate delays before they impact client pickup timelines

Back-Office & Administrative Support

  • Ensure all client contacts and interactions related to assigned advisors are captured in CRM and Herringbone within established timelines and standards
  • Gather and update relevant client details for new and existing clients following each interaction

Successful candidates will require:

  • A minimum of 3-5 years of retail experience in a client facing role, with a track record of managing client appointments, answering client inquiries, coordinating and performing administrative tasks with a high level of client satisfaction
  • A strong service orientation – a demonstrated desire to wow our customers!
  • Demonstrated interest in technology and how to use tech innovations to support the retail Customer Service function
  • The ability to work effectively as part of a team
  • Strong multi-tasking skills and the ability to calmly and efficiently manage, acknowledge and assist VIP clientele
  • A focus on driving long-term customer loyalty and conversion
  • Strong communication skills and a keen understanding of policies and procedures

BC ONLY: **Compensation will be based on skills and experiences, with a starting rate of $50,000 annually plus a specialized bonus plan.
