We are seeking a permanent Advice Operations Specialist to support the day-to-day operations of Advice Services. You’ll help ensure our middle and back-office functions operate effectively, accurately and in line with agreed service standards.

Your New Role

In this role, you’ll support a range of advice operations activities that contribute to the retention and growth of members under advice. You’ll manage important operational processes, maintain accurate adviser and authority records, and serve as a subject matter expert across adviser-related data and services.

You’ll also support adviser tools and systems, including CRM, Adviser Portal and Member Direct Adviser Portal. Working with stakeholders across the organisation, you’ll troubleshoot issues, coordinate system changes and contribute to operational and strategic enhancements.

Key duties include but are not limited to;

  • Manage the fortnightly advice fee batch process, ensuring deductions and payments are completed accurately and on time.
  • Manage automated adviser onboarding, resolve exceptions and complete regular compliance checks.
  • Coordinate adviser licensee movements and ensure member account authorities remain aligned with relevant ASIC guidelines.
  • Manage adviser third-party authorities, including their timely creation, revocation and amendment.
  • Maintain accurate adviser and authority records across core systems and respond to stakeholder data requests.
  • Take ownership of system changes and fixes, including raising tickets, documenting business requirements and completing user acceptance testing.
  • Support management reporting and contribute to business-as-usual and strategic improvement initiatives.
  • Build positive relationships with internal and external stakeholders while supporting shared team outcomes.

What You’ll Need

  • Strong written and verbal communication, interpersonal and collaboration skills.
  • Demonstrated stakeholder management experience.
  • Strong organisational skills, with the ability to manage competing priorities and work autonomously.
  • Analytical, data management and reporting capabilities.
  • Excellent attention to detail and the ability to identify errors and system issues.
  • Confidence learning and navigating systems, processes and workflow tools.
  • Intermediate Microsoft Excel skills, including macros, and familiarity with Word and PowerPoint.
  • Basic knowledge of Power Automate and Power BI, or a willingness to develop these capabilities.
  • Strong critical thinking and problem-solving skills.
  • Knowledge of superannuation or financial advice operations, compliance requirements or RG146 will be highly regarded.
