
The Advancement Services Analyst is responsible for processing gifts, researching, entering and maintaining data in Salesforce Advancement Connect when needed. This includes accurately entering the daily receipt of college gift checks, maintaining constituent data, extensive data entry projects, updating prospect managers, ratings, stages, the creation of prospect management lists and reports, and completing various administrative tasks as needed. This position requires an individual who is highly detail oriented who can learn and comprehend a complex database with highly detailed policies and procedures. Reports to the Director of Advancement Services.
ESSENTIAL JOB FUNCTIONS:
• Accurately enter gifts into database management system, which includes pledges, checks, cash, online credit card gifts, in-kind gifts, and matching gifts.
• Create and update constituent records; research and maintain donor and gift data
• Ability to utilize tools to research for accurate data on constituents
• Backup and assist with business office related work as needed
• Follow department policies and procedures, and adhere to CASE reporting and recording guidelines and IRS regulations.
• Required to maintain confidentiality of all information entrusted to this position.
• Provide operational support for special events, including some evening and weekend work.
• Performing other related duties as required or assigned.
• Work effectively with other coworkers to promote and maintain a positive work environment.
• Assist the Director of Advancement with other duties as assigned.
SKILLS/ABILITIES:
• Strong computer literacy required including familiarity and comfort with spreadsheets and databases, Salesforce preferred.
• Knowledge of MS Office, particularly Excel and Word with the facility to learn new software
• Basic accounting skills
• Ability to handle large volumes of confidential data with speed and accuracy
• Excellent customer service
• Skill in dealing with people, diplomacy, tact, maturity, discretion and the ability to maintain confidentiality.
• Ability to work well under pressure and adapt easily to changing situations and priorities.
• Requires ability to handle multiple assignments with minimum supervision while meeting strict deadlines.
• High level of discretion in dealing with sensitive and confidential information.
• Sensitivity to and a strong commitment to the mission of CalArts.
• Proficiency in Microsoft Office, Google and Adobe applications.
• Critical thinking skills required.
• A bachelor’s degree is required.
• Minimum 2 years related experience with the ability to work accurately and effectively with data using various database/report writing software, Salesforce preferred. Experience in development related or higher education settings a plus.
• Experience and/or interest in arts disciplines.
