Job Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University is seeking an Advancement Operations Specialist who will promote our Catholic Franciscan mission and identity by supporting the operational infrastructure of the Office of Institutional Advancement through the management of constituent and engagement data, reporting, and operational processes. The position maintains data integrity, supports cross-functional business operations, and provides operational support for alumni and donor engagement, fundraising, stewardship, communications, and events.

Essential Duties and Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Maintains the accuracy, integrity, and quality of constituent and alumni and donor engagement data within Blackbaud Raiser's Edge NXT through record maintenance, quality assurance, data standards, and cleanup initiatives. 30%
  • Manages alumni and donor engagement data by maintaining constituent interactions, event participation, volunteer activity, communications, and other engagement records to support reporting and strategic decision-making. 20%
  • Prepares reports, constituent lists, dashboards, and data summaries that support fundraising, stewardship, alumni and donor engagement, and leadership decision-making. 15%
  • Assists with database projects, including data imports, exports, mass updates, workflow documentation, and operational process improvements. 15%
  • Provides operational support for Institutional Advancement initiatives through workflow management, project coordination, audience data preparation, and cross-functional collaboration. 10%
  • Provides backup support for Advancement Operations functions, including gift entry, Daily Report processing, acknowledgments, and other departmental responsibilities. 10%

  • Exercises independent judgment in maintaining constituent records, applying data standards, identifying data quality issues, prioritizing assigned operational work, and recommending process improvements. Determines appropriate methods for maintaining data integrity while collaborating with Advancement Operations leadership on complex or policy-related decisions.
  • Shows courtesy and respect in interactions with fellow employees, students subordinates, and supervisors
  • Excellent communication and interpersonal skills.
  • Demonstrated ability to be self-motivated, and able to work independently with colleagues throughout the university and in the community.
  • Works collaboratively with colleagues across Institutional Advancement to support operational processes, provide technical expertise, and promote consistent data management practices.

Required Qualifications:

  • Bachelor's degree or equivalent combination of education and experience.
  • Experience working with constituent relationship management (CRM) databases; Blackbaud Raiser's Edge NXT experience preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • High attention to detail and commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, specifically Excel and Word.
  • Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
  • Ability to work collaboratively across multiple functional areas.

Preferred Qualifications:

  • Experience in higher education, nonprofit organizations, or advancement services.
  • Experience with reporting, data analysis, and constituent engagement tracking.
  • Experience supporting fundraising, alumni relations, stewardship, or advancement communications.
  • Knowledge of Blackbaud Raiser's Edge NXT reporting and data management best practices.
