JOB SUMMARY:
We are seeking a highly organized and detail-oriented Advancement Operations Coordinator to support the daily operations of a dynamic Advancement team. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and is passionate about supporting meaningful fundraising and community engagement efforts.
The Coordinator plays a key role in ensuring the Advancement Office runs smoothly, providing executive support to the Chief Advancement Officer (CAO), coordinating events and logistics, and assisting with donor engagement and stewardship.
ESSENTIAL FUNCTIONS AND TASKS:
- Provide high-level administrative support to the Chief Advancement Officer, including calendar management, meeting coordination, and travel arrangements
- Serve as the first point of contact for the Advancement Office, creating a welcoming and professional environment for guests and donors
- Coordinate meetings, events, and team logistics, including scheduling, materials preparation, and technology support
- Assist with donor communications, including drafting correspondence, preparing solicitation materials, and coordinating acknowledgments
- Maintain accurate donor and engagement records in the database
- Track and reconcile Advancement Office expenses and support financial reporting processes
- Support fundraising initiatives such as the Annual Appeal and donor stewardship efforts
- Collaborate with internal teams, including the Business Office and IT, to ensure smooth operations
QualificationsKNOWLEDGE, SKILLS, & ABILITIES:
- Bachelor's degree with three (3) years of experience.
- Ability to maintain strict confidentiality and handle sensitive donor and institutional information with discretion.
- Ability to communicate clearly, professionally, and concisely, both verbally and in writing.
- Ability to manage multiple priorities, deadlines, and projects in a fast-paced environment.
- Ability to demonstrate strong organizational and time management skills with exceptional attention to detail.
- Ability to provide high-level administrative and executive support with accuracy and efficiency.
- Ability to build and maintain positive relationships with donors, colleagues, and community members.
- Ability to work collaboratively as a team player while also operating independently.
- Ability to use sound judgment and problem-solving skills in a dynamic environment.
- Ability to manage logistics and coordinate events, meetings, and donor engagement activities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and donor databases (e.g., Raiser’s Edge NXT preferred).
- Ability to adapt to changing priorities and support evolving Advancement Office needs.
