Job Description

CVP is seeking Advanced Medical Support Assistants to join our team in providing our Nation's Veterans with primary care administrative support services at the Dayton VA Medical Center in Dayton, OH.

Working hours are Monday through Friday, 8:00 AM to 4:30 PM EST.

Responsibilities

  • Perform a full range of receptionist and customer service duties as a foundational member of the Primary Care Patient Aligned Care Team (PACT), setting the tone for quality healthcare services through every interaction with Veterans, families, and staff.
  • Manage appointment scheduling for one or more Primary Care clinics, completing all scheduling actions accurately and in accordance with VHA Directive 1230, Outpatient Scheduling Management, and department Standard Operating Procedures (SOPs).
  • Assist with clinic access contingency plans by adjusting appointment times, locations, and dates, and shifting patients to other healthcare providers as staffing and coverage conflicts arise.
  • Conduct a daily review of active and pending consults, Recall lists, Return to Clinic lists, and other communications for accuracy and appropriate disposition.
  • Validate and update patient demographic information at each interaction, either in person during check-in or over the phone, to reduce returned mail and improve patient contact reliability.
  • Ensure patient safety standards are met by using correct Veterans Affairs patient identification protocols, including multiple forms of identification confirmation per department requirements.
  • Explain the VA's mandate to collect insurance information to Veterans, families, and other eligible patients; collect, scan, and update health insurance information to support the revenue collection process.
  • Identify patients with third-party insurance and contribute to the revenue cycle by flagging appropriate cases.
  • Screen and receive phone calls in a courteous and timely manner; determine the nature of requests and provide appropriate information using established privacy and clinic processes.
  • Maintain a high degree of tact and diplomacy when working with Veterans who may have multiple health problems or frustrations with administrative processes.
  • Ensure that all necessary health and administrative information is accurately integrated into the VA Computerized Patient Record System (CPRS) upon receipt of records.
  • Manage position responsibilities and set priorities and deadlines, adjusting the flow and sequencing of work to meet team and patient needs.
  • Provide administrative services guiding patients to the Transportation Coordinator for Veterans support services, including advising Veterans of eligibility for Beneficiary Travel reimbursement.
  • Communicate conversion of special mode travel requests to patient travel reimbursement voucher claims when appropriate.
  • Participate in daily team huddles and weekly team meetings to support patient care planning and management with the assigned PACT team.
  • Respond to leadership action items, notifications, and suspenses in a timely manner and in line with department guidance.
  • Validate assigned team workload and ensure reporting is reviewed to meet department metrics.
  • Provide analysis and recommendations to operating managers and supervisors on how provided services can assist in accomplishing their missions.
  • Maintain strict privacy and confidentiality for patients, families, medical records, and electronic information in accordance with all applicable laws, regulations, and VA policies, including the Privacy Act and HIPAA.
  • Safeguard medical records by maintaining physical and electronic security standards; utilize appropriate guidelines and communication channels when releasing confidential information.

Qualifications

  • Must be eligible to obtain a Public Trust government security clearance. US Citizenship is required.
  • High School Diploma or General Equivalency Diploma (GED).
  • Two (2) to three (3) years of experience in a medical administrative support role, or certification from an accredited institution related to medical administration.
  • Familiarity with medical terminology, scheduling systems, and electronic health record platforms.
  • Strong customer service skills with demonstrated ability to interact professionally and compassionately with patients, families, and clinical staff.
  • Proficiency in basic computer skills, telephone etiquette, and standard office equipment operation.
  • Influenza vaccination is required for this position in accordance with VHA Directive 1192.01.
  • Previous VA or federal healthcare administrative experience is preferred.
  • Certification as a Medical Administrative Assistant or equivalent from an accredited institution is preferred.
