Job Description

Akicita Federal is hiring Advanced Medical Support Assistants to deliver high-quality administrative care and front-line veteran support for the Dayton VA Medical Center's primary care program in Dayton, OH. In this role, you will serve as a vital member of an interdisciplinary patient care team, ensuring veterans and their families experience a smooth, professional, and efficient administrative process from the moment they arrive or call. Your work directly impacts veteran access to healthcare by keeping scheduling, records, and clinic operations running accurately and on time.

- Greet and check in veterans in person and by phone, verifying identities and updating demographic and insurance information at every encounter
- Build, coordinate, and maintain complex appointment schedules across one or more clinics, incorporating direct patient input to reduce unnecessary trips to the medical center
- Implement contingency scheduling plans during staffing shortages by adjusting appointment times, relocating visits, or transferring patients to alternate providers
- Review daily consult lists, Recall lists, and return-to-clinic communications to ensure accuracy and timely disposition
- Collect, scan, and record third-party health insurance data and advise veterans on Beneficiary Travel reimbursement eligibility, rates, and voucher conversion processes
- Participate in daily PACT team huddles and weekly care coordination meetings, tracking workload metrics and flagging scheduling access issues to supervisors when mandated windows are at risk
- Receive and route incoming calls with professionalism, integrate incoming health records into the electronic patient record system, and escalate complex patient concerns to administrative leadership within 24 hours
What sets candidates apart:
- Prior experience supporting VA, military, or other federal healthcare facilities
- Hands-on familiarity with VA-specific systems such as VistA, CPRS, or similar VA scheduling tools
- Experience working within a Patient Aligned Care Team (PACT) or interdisciplinary primary care model
- Background in Beneficiary Travel coordination or third-party insurance collection in a government healthcare setting
- Demonstrated ability to analyze scheduling access data and provide actionable recommendations to clinic leadership
