Description

The Legislative Research Commission is accepting applications for the position of Administrative Assistant in
the Human Resources and Professional Development Department. This position is nonpartisan in nature and requires
the ability to work with neutrality in a politically charged environment.

The Legislative Research Commission provides staff support to the Kentucky General Assembly. The agency offers

This is a permanent, full-time position with benefits including health and life insurance; retirement plan;
and paid holidays, vacation, and sick days. Compensatory time is awarded on an hour-for-hour basis with prior
approval.

Job Duties:

  • Provides responses to staff inquiries related to human resources needs.
  • Responds to employment verification inquiries, as well as employment-related inquiries from applicants,
    employees and supervisors, referring complete and, or, sensitive matters to the appropriate staff.
  • Assists new employees with completion of required Human Resources documents.
  • Acts as a liaison with other departments and outside agencies.
  • Handles confidential and non-routine
    information and explains policies when necessary including employee verifications.
  • Maintains daily schedules and office files including establishing, developing, maintaining and updating
    filing system for the CHRO and the department.
  • Assists in updating and maintaining LRC in-house personnel application and employee reporting
    spreadsheet.
  • Assists with the hiring process for open positions; collaborates with departmental managers by setting
    up
    interviews and preparing new employee packets.
  • Prepares job postings and obtains approval of job postings by departmental managers. Once approved,
    initiate the posting process through KHRIS for posting to MyPurpose.
  • Conducts applicant background screening, including but not limited to employment verification,
    references, and criminal history.
  • Utilizes MyPurpose technology platform to perform employment-related functions such as keeping accurate
    records of active job openings, receiving applications, and managing internal and external job postings.
  • Assists in creating and maintaining personnel reports in Microsoft EXCEL, KHRIS, and in-house Personnel
    Application.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans and etc.
  • Responsible for accuracy and clarity to final copy.
  • Assists in registering and preparing information packets for job fairs.
  • Organizes and schedules meeting for all members of the department.
  • Completes forms and responds to requests.
  • Drafts written responses or replies by phone or email and
    responds to regularly occurring request for information.
  • Works on special projects.
  • Acts as project manager for special projects which may include: planning and
    coordinating multiple presentations, disseminating information, coordinating direct mailings, creating, and
    updating materials.
  • Greets and assists visitors.
  • Answers the telephone, takes messages, and makes appropriate referrals for large volumes of information
    and calls including those from other departments and committees.
  • Serves as second response to calls directed
    to other HR staff who are unavailable.
  • Distributes mail for the department including processing personnel action notifications.
  • Maintains office supplies and office equipment.
  • Responsible for maintaining all LRC Personnel files.
  • Performs other duties as assigned.

  • Strong verbal, writing, and listening skills.
  • Excellent proofreading skills.
  • Proficient keyboard skills.
  • Proficiency with current office technology, including office IT general business software such as
    Microsoft Office.
  • Ability to work independently and in a team environment.
  • Ability to work under pressure and meet specific deadlines.

Minimum Requirements
EDUCATION:
High school diploma or GED

EXPERIENCE, TRAINING, OR SKILLS:
No direct experience is needed. Limited relevant, business experience and business knowledge is
required, or equivalent academic training. Education may be substituted for experience at the discretion of
the supervisor and manager
