Job Description

Reporting to the Executive Director of Admissions, the Admissions Operations and Communications Manager directs the day-to-day procedures and processing of the Office of Admission both within admission systems and physical documents. Overseeing a receptionist and team of student workers, this position ensures that all visitors and prospective students to CalArts receive excellent customer service and timely responses to inquiries. Working closely with the Admissions Review Coordinator, this position ensures that all of the systems used in the Office of Admission are maintained and functioning in a way that increases efficiency in office processes. The Admissions Operations and Communications Manager will oversee the sending of all email communications coming from Admissions.

ESSENTIAL JOB FUNCTIONS:

• Oversee the daily operations of the Office of Admissions ensuring timely handling of all incoming, mail, email, calls and walk-ins with exceptional customer service. This position will supervise an office assistant and student workers.

• Alongside the Executive Director, develop and implement best practices for the handling and processing of all inquiries, applications, and supporting documents within the Office of Admission application, communication, and CRM systems.

• Partnering with Admission Counselors for content creation, build communications within the CRM to send both recruitment and process communications to prospects, applicants, and accepted students.

• Coordinate with other offices at CalArts to maintain their reports from the Office of Admission.

• Liaise with the Admissions Review Coordinator and CalArts IT for any technological issues related to the online application, Admissions CRM and document receiving partners, including submitting support tickets and resolving internal and external user issues.

• Work with the Executive Director of Admissions to maintain Closed Program list and update application programs as needed.

• Coordinate changes for the online application annual updates, including:

o Review application questions for changes to response choice groups;

o Review changes to application and request information pages to match application programs;

o Coordinate with Office of Communications to develop updated application PDFs.

• Work with the Assistant Director of Recruitment to strategize and develop content for online/social media presence

o Coordinate social media posting schedule and maintain posting calendar;

o Work with Admissions Counselors to develop new content for posting to specific social media channels and groups;

• Other duties as assigned.

Qualifications

• High level of technical understanding of Admissions software and application processing.

• Experience developing content for social media and prospective student pages.

• Proficiency in Microsoft Office, Google and Adobe applications;

• Critical thinking skills required

• Bachelor’s degree and/or relevant experience in operations management required.

• Minimum 3 years of employment in a higher education administrative position, preferably in Admissions.
