The position

The Aga Khan Schools in Kenya operates five schools and one residential school, offering both the national and international curricula from nursery to secondary.

The Aga Khan School, Mombasa provides high-quality education to students from nursery to secondary (Playgroup to Grade 12). It offers the High Scope Curriculum for nursery students, which is an inquiry-based, hands-on curriculum. The school offers the Competency Based Curriculum (CBC) for its primary and secondary students and aims to nurture the holistic development of its students from an early age.

We are seeking to fill the below post within our establishment. The position holder will be based at our Aga Khan School, Mombasa (AKS, Mombasa).

Position: Admissions Officer.

Role Summary.

The Admissions Officer is responsible for coordinating and supporting the student admissions and enrolment process from initial enquiry through to admission. The role involves engaging prospective families, providing accurate information about the school, coordinating admissions assessments, maintaining accurate and confidential student records, and supporting current and former students with transcripts and other academic documentation. The Admissions Officer will work closely with the Head Teacher, Deputy Head Teacher, and relevant curriculum and Learning Support personnel to ensure a professional, efficient, and responsive admissions experience.

KEY RESPONSIBILITIES

  • Admissions and enrolment management: Maintaining the admissions pipeline, following up on applications, and supporting agreed enrolment targets.
  • Reporting: Providing regular admissions and enrolment reports to the Head Teachers
  • Parent engagement: Strengthening the focus on professional and timely communication with prospective and current families.
  • Learning Support coordination: Including a clear clause requiring liaison with the Learning Support team where a prospective learner may require assessment or support.
  • Student records and confidentiality: Strengthening the requirements around accuracy, confidentiality, data management and secure handling of student records.
  • SIS management: Clearly stating responsibility for timely and accurate updating of the School Information System.
  • Receive prospective families/students, offer tours around the school and direct them to the relevant personnel.
  • Capture information of prospective students.
  • Provide general information about the school to prospective families, including fees.
  • Make follow-up calls and emails to prospective families.
  • Liaise with National Curriculum Coordinator, Junior Secondary School Coordinator, Head Teacher and Deputy Head Teacher to ensure that prospective families have access to relevant curriculum and other information.
  • Facilitate the administration of admission exams.
  • Maintain accurate records regarding students’ demographics and academic records.
  • Prepare admission letters for new students.
  • File all relevant documents in the student file.
  • Print and file reports for all students at the end of each semester.
  • Prepare transcripts and other documents for current and former students.
  • Manage the archive of student files.
  • Carry out other tasks in line with this role and as specified by the Head Teacher.

The requirements

QUALIFICATIONS AND EXPERIENCE

  • Diploma in Admissions, Education Administration, Business Administration, Customer Service or a related field.
  • At least two years’ relevant experience in admissions, school administration, customer service, or a similar role.
  • Previous experience working in a school environment will be an added advantage.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Experience working with a School Information System or other student information database will be an added advantage.
