Our client is looking for an
Admissions Coordinator
to support patient enrollment, referral processing, insurance verification, and healthcare record management within a fast-growing virtual care organization. They operate in the telehealth and care management industry and have recently expanded their remote monitoring, chronic care, transitional care, and virtual healthcare services to improve continuity of care and reduce avoidable hospital visits.

The ideal candidate is organized, detail-oriented, and comfortable working with sensitive healthcare information in a fast-paced environment. This professional will help ensure that physician referrals, orders, insurance details, and patient records are entered accurately into the electronic medical record system and remain complete, current, and HIPAA compliant.

This role is well suited for someone with a medical or healthcare administration background who can combine compassionate patient support with strong documentation, data entry, and follow-up skills.

Responsibilities

• 
  Receive, review, and process new patient referrals and admission documentation.
• 
  Enter physician referrals, medical orders, demographic information, and patient details into the electronic medical record system.
• 
  Confirm that all required documents and fields are complete before advancing a patient through the admissions process.
• 
  Verify patient insurance coverage, benefits, eligibility, and relevant program requirements.
• 
  Support enrollment into Medicare care management programs when applicable.
• 
  Review documentation for inconsistencies, missing information, or potential eligibility issues.
• 
  Contact patients, physician offices, insurance providers, or internal team members to obtain missing documentation.
• 
  Maintain accurate, organized, and up-to-date patient records.
• 
  Process a high volume of information while maintaining strong accuracy and attention to detail.
• 
  Protect patient confidentiality and ensure all documentation and communication follow HIPAA requirements.
• 
  Assist patients in understanding the next steps in the enrollment or admissions process.
• 
  Coordinate with clinical, administrative, and care management teams to support a smooth patient onboarding experience.
• 
  Track pending referrals, incomplete admissions, insurance verification requests, and required follow-ups.
• 
  Escalate documentation, eligibility, or referral concerns to the appropriate team member.
• 
  Use Athenahealth or a comparable EMR/EHR platform to manage patient information and admission workflows.
• 
  Communicate professionally in English and Spanish with patients, healthcare providers, and internal stakeholders when needed.

Requirements

• 
  Previous experience in healthcare administration, patient admissions, patient intake, medical coordination, insurance verification, or a related role.
• 
  Familiarity with medical terminology and healthcare documentation.
• 
  Experience entering patient, referral, or clinical information into an EMR or EHR system.
• 
  Understanding of patient confidentiality and HIPAA-compliant record handling.
• 
  Strong English communication skills, both written and verbal.
• 
  Professional fluency in Spanish.
• 
  Fast and accurate data entry skills.
• 
  Excellent attention to detail and the ability to identify incomplete or inconsistent information.
• 
  Strong organizational and follow-up abilities.
• 
  Ability to manage multiple patient files, requests, and deadlines simultaneously.
• 
  Reliable internet connection and a professional remote work environment.
• 
  Ability to work full-time and remain focused exclusively on the position during the agreed schedule.

Qualifications

• 
  A medical, clinical, or healthcare administration background is strongly preferred.
• 
  Previous experience with insurance eligibility or benefits verification is preferred.
• 
  Knowledge of Athenahealth or AthenaOne is highly desirable.
• 
  Familiarity with Medicare care management programs is preferred.
• 
  Experience supporting Chronic Care Management, Transitional Care Management, Remote Patient Monitoring, or similar programs is an advantage.
• 
  Experience communicating with physician offices, insurance companies, patients, or clinical teams is beneficial.
• 
  Previous remote work experience within a healthcare organization is a plus.
• 
  Training or education in medical assisting, health administration, nursing, medical billing, or a related field is beneficial but not mandatory unless otherwise required by the client.
