About the Role
We are seeking a compassionate and detail-oriented Admissions Coordinator to be the first point of contact for individuals and families seeking help. This role is perfect for someone who thrives in a fast-paced, mission-driven environment and enjoys guiding clients through the admissions process with professionalism, empathy, and precision.
As an Admissions Coordinator, you will manage incoming inquiries, verify benefits, assist with payment coordination, and support smooth client placement. Your work directly impacts client experience and helps ensure individuals get the care they need quickly and efficiently.
Key Responsibilities
Serve as the primary contact for incoming inquiries via phone, chat, email, and messaging platforms, providing prompt, empathetic, and professional communication.
Guide prospective clients and families through the admissions process with clear explanations of programs, insurance coverage, and next steps.
Complete insurance verifications, coordinate public funding, and assist with private pay arrangements, deductibles, and fees.
Collaborate with clinical and outreach teams to ensure timely placement and smooth transitions into treatment programs.
Document all interactions and updates accurately in the CRM and EMR systems.
Participate in weekly admissions and clinical team meetings to discuss treatment planning, client progress, and follow-up care.
Uphold compliance with company policies, HIPAA regulations, and accreditation standards.
Contribute to process improvements and quality assurance efforts to optimize the admissions workflow.
Qualifications & Skills
Required:
Strong proficiency with technology, including CRM (Salesforce), EMR/EHR systems, and billing software.
Ability to type 50+ WPM while actively engaging with clients.
Excellent written and verbal communication skills, with the ability to remain calm and professional in high-stress situations.
Preferred:
Experience as an Admissions Coordinator, Intake Specialist, Dispatcher, or similar client-facing administrative role.
Familiarity with substance use treatment settings (detox, residential, PHP, IOP) or behavioral health admissions.
Knowledge of insurance verification processes and prior authorization requirements.
