Job Description

Te Whiwhinga mahi | The opportunity

We are seeking an Administrator to support the day-to-day operations of University Accommodation at Grafton Hall. The position will help deliver a positive experience for our residents and community. Working closely with the Resident Manager, this role provides administrative support across a dynamic portfolio that houses 324 students.

You will work closely with accommodation staff, contractors, service providers and University teams to ensure processes run smoothly, facilities are well supported, and operational information is accurate and accessible. You will also provide occasional support across residence receptions when additional assistance is required.

This is an excellent opportunity for an organised and proactive administrator who enjoys working across multiple priorities. This role is the face of Student Accommodation, acting as a key point of contact for students, visitors, and stakeholders. Building positive relationships and providing support to students is a fundamental part of the position.

Your responsibilities will include:

  • Providing administrative support to the Accommodation team, including customer service, operational duties, interacting with students, visitors and key stakeholders as an essential component of the role
  • Supporting operational activities including contractor coordination, facilities inspections, stock management and maintenance administration
  • Managing financial processes including purchasing, purchase orders, invoicing, accounts administration and budget support
  • Producing reports, presentations and operational information to support decision making and performance monitoring
  • Providing reception and customer service support when required, including responding to enquiries and supporting residence operations ensuring a safe and smooth running of facilities and assets as well as debt management, purchasing, accounts payable
  • Contributing to continuous improvement initiatives, process documentation and operational consistency across Accommodation

This is a permanent full-time position (37.5 hours per week). The salary range for this role is $57,000 to $63,000, negotiable depending on skills and experience. Monday to Friday from 8.30 am to 4:30 pm.

You are a highly organised administrator who enjoys working in a busy and collaborative environment. You have strong attention to detail, take pride in providing excellent service, and can confidently manage multiple priorities while maintaining accuracy and professionalism.

You enjoy building relationships and working with a wide range of stakeholders. Whether coordinating operational activities, supporting financial processes or assisting with reporting and administration, you bring a proactive approach and are always looking for ways to improve how things are done. Experience in a large, complex organisation and an interest in supporting student-facing services will help you thrive in this role.

E rapua ana mātou | We are seeking

  • At least three years' experience in an administration or operations support role within a complex organisation
  • Experience supporting multiple stakeholders and coordinating a range of administrative activities and priorities
  • Strong proficiency in Microsoft Office and experience working with databases or customer management systems
  • Experience supporting financial administration, including purchasing, invoicing, accounts payable or reporting activities
  • Excellent organisational, communication and relationship management skills
  • A proactive approach to problem solving, process improvement and delivering high-quality customer service
