About the Role:

The Materials Administrator manages the flow of materials within a project, ensuring timely availability and proper usage. They are responsible for coordinating material procurement, inventory, and distribution, often working closely with production, procurement, and other teams.

Accountable For:

Monitoring inventory levels, coordinating the logistics of materials, and maintaining accurate records of all materials.

Responsibilities

  • Collaborate with different departments (Production, Procurement, Planning, Logistics & Accounting) to ensure the smooth flow of all materials.

  • Develop an efficient Packaging & Shipping plan, identify all necessary materials, and confirm they are readily available for the projects’ needs.

  • Generate reports for all materials and handle their movements among bin/warehouse locations and create computerized materials records (like cubes’ shipping, delivery and movements in/out the facility, adjustments records)

  • Create and maintain inventory records and ensure accuracy of inventory counts via the Cycle Counting process.

  • Keep track of all sensitive data and create a suitable project’s packing & shipping schedule according to the production deadtime.

  • Coordinate the delivery of materials to the appropriate workstations, departments, or storage areas.

  • Communicate with vendors and suppliers as needed to ensure timely delivery of materials

  • Work with cross-functional teams to ensure materials are available when needed for production or projects.

  • Manage scrap materials and dispose of them in accordance with company policies and regulations.

  • Monitor and report on inventory levels, usage, and trends to management.

  • Coordinate with production teams to identify material needs.

  • Liaise with logistics to coordinate transportation and deliveries.

  • Resolve any issues related to material shortages or delays.

  • Collaborate with various departments to streamline material flow.

  • Support the Supply Chain organization to deliver the needed materials to meet project deliverables.

  • Maintain inventory responsibility for the NetSuite System with the receiving, warehousing, Adjustments, and controlling of materials cycle count.

  • Coordinate with internal and external parties to ensure inventory is maintained to industry standards and production requirements.

  • Conduct the physical inventory counting.

  • Fixing the WO errors in NS.

  • Attending meetings as per projects, inventory controlling, and production’s needs.

​Knowledge, Skills, and Abilities

  • Proficient written and oral communication, organizational, and interpersonal skills are required.

  • Prior use of Microsoft Office applications (Excel, Word, etc.) required.

  • Must be able to work within a collaborative team environment while also working independently and be responsible for the tasks assigned.

  • Coordinate with internal departments to understand material requirements and ensure timely delivery.

​Education and Experience

  • High school diploma or equivalent required.

  • Associate's degree preferred.

  • Minimum of 2 years relevant experience.

​Travel

  • Local Travel: Less than 10%

​Working Conditions

  • Office Environment - Must be able to remain in a stationary position 50% of the time and occasionally move about inside the office to access file cabinets, office machinery, etc.Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. May be required to exert up to 25 pounds of force occasionally to lift, carry, push, pull or otherwise move objects, including the human body.

  • Factory - The worker may be subject to hazards. Includes a variety of physical conditions, such as proximity to moving mechanical parts, vibration, moving vehicles, electrical current, exposure to temperature changes or exposure to chemicals.While performing the duties of this job, the employee may be exposed to fumes, airborne particles, odors, dust, mists, and gases The noise level in the work environment can be loud. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes. Machinery operation requires the use of safety equipment to include but not limited to eye safety glasses, hearing protectors, work boots, and lab coats. May be required to exert up to 50 pounds of force occasionally to lift, carry, push, pull or otherwise move objects, including the human body.
