POSITION SUMMARY

The Ryan White Grants Administrator will oversee the grant management for the Ryan White Part B & C Programs. This position provides administrative and strategic programmatic support, which includes management, planning, development, implementation, and monitoring of all aspects and services related to HIV, Ryan White, in conjunction with the Medical Director.

REPORTING RELATIONSHIPS

This position reports to the Medical Director of the Infectious Disease Service Line/Project Director of the RW Program and the VP of Grants Administration at TWC

ESSENTIAL JOB DUTIES AND FUNCTIONS

While living and demonstrating our Core Values, the RW Grants Administrator will:

• Oversee the compliance of the Ryan White Part B and Part C programs and report to the Project Director.
• Review and provide input on the fiscal budgets for all service lines i.e. Ryan White Part B & C, to the Project Director, Deputy Chief Operating Officer(s) and Chief Operating Officer.
• Oversee fiscal compliance and approval of Ryan White Part B & C programs as well as Ryan White program income.
• Develop, implement and revise policies and procedures for all programs and provide training to staff regarding the policies and procedures in coordination with the Project Director.
• Development and review of all work plans and logic models as they relate to RW clinic grant funded initiatives to ensure tasks are on-track or plans for solutions are emerging.
• Manage changes to project scopes, schedules, and costs using appropriate verification techniques so as to keep project plans accurate and reflective of authorized project changes in conjunction with the Project Director.
• Implement and oversee all stage-gate analysis and financial methodologies for multi-project initiatives.
• Develops proposals, in conjunction with the Project Director and Grants Team, by assembling information including project nature, objectives, outcomes, deliverables, implementation, methods, timetables, staffing, budget, standards of performance and evaluation.
• Work directly with the United Way, HRSA and the PA DOH on all guidelines, policies, budgets and program requirements in conjunction with the Project Director
• Oversee and complete monthly, quarterly and annual compliance and reporting Part B & C grants. Ensure all reports are complete, validated for accuracy, and submitted on time.
• Ensure all operations are compliant with but not limited to: HRSA CARES Act, PA Act 148, and HIPPA
• Accountable for each department's performance and outcomes, including all quantitative and qualitative service delivery measures.
• Conduct internal chart audits when necessary to ensure compliance with contractual obligations.
• Responsible for the communication between internal and external stakeholders as well as integration with other service lines.
• Identify community needs for existing and new services; implement program modifications, new strategies and approaches to service delivery, or enhancements as needed.
• Ensure competency of staff within the scope of community health principles and specific practice acts in conjunction with the Project Director.
• Submit all required reports and documentation to HRSA, the United Way and PA DOH as requested or required
• Oversee implementation of new Ryan White data collection and reporting system Health Informatics Team.
• Oversee implementation of PA DOH centralization of Careware in coordination with the Health Informatics Team.
• Evaluate successes and deficiencies to create a comprehensive plan of action utilizing PDSA (Plan, Do, Study, Act) methodology.
• Attend meetings as required.
• Perform an annual assessment and develop action plans from the prior year activities.
• Make recommendations regarding construction, renovation, environmental rounds, and assures compliance with national and/or professional standards
• Investigate incidents and actively participate in follow-up root cause analysis and PDSAs.
• Build programs that enhance and meet the needs of patients identified through continuous quality improvement activities, RCAs, PDSAs, and monthly quantitative and qualitative data.
• Ensure partnerships with local organizations are documented in a Memorandum of Understanding (MOU) and all MOUs are up to date and tracked to be reported to the United Way and HRSA.
• Other assigned office related tasks

Requirements

• Meet The Wright Center for Community Health and its affiliated entity The Wright Center for Graduate Medical Education EOS© People Analyzer Tool
• Buy in and experience working in the EOS® model (strongly preferred)
• Mission-oriented; represents the enterprise in a professional manner while demonstrating organizational pride
• Bachelor's degree in business, healthcare administration
• Previous front-office experience (3-5 years) in a high-volume medical practice desirable
• 3-5 years management experience including leading a team
• Experience in HIV & STI testing preferred
• Experience with MEDENT or other EHR software a plus
• Knowledge of medical terminology and insurances
• Proficiency in Word, Excel, PowerPoint and Email- Google
• Must be reliable and punctual
• Must be able to perform effectively in a fast-paced environment with many changing priorities
• Must be professional and customer service oriented to deliver quality excellent care
