1.Bachelor's degree in Business Administration, Management, Supply Chain, or a related field
2.2–3 years of experience in administration, procurement, facilities management, or a similar role. Hands-on experience with vendor dealing, procurement processes, and inventory management – preferred.
3.Skills & Competencies • Strong negotiation and vendor management skills. • Good knowledge of procurement procedures and inventory record-keeping. • Team leadership skills with the ability to manage and supervise outdoor staff. • Proficiency in MS Office (Word, Excel, Outlook) for reporting and record maintenance. • Strong organizational, multitasking, and problem-solving abilities. • Good verbal and written communication skills in English and Urdu. • Integrity and transparency in handling company funds and purchases. • Valid driving license and willingness to travel locally for procurement and site visits – preferred.
Job Responsibilities
Procurement & Vendor Management
• Execute all procurements of ACE Union strictly in accordance with the ACE Procurement Policy.
• Procure stationery, computers and related IT accessories, kitchen items, and other departmental requirements. • Conduct random quality checks on purchases received from vendors.
• Issue letters to vendors as and when required, in coordination with the HR department.
• Seek management approvals where required before committing expenditure. Inventory & Records
• Oversee all Admin Department inventories and maintain proper, up-to-date records
• Coordinate with the Accounts department to ensure admin inventories are accurately updated.
• Provide data for internal audits in coordination with the Sr. Manager Admin.
• Provide a monthly Admin report to the Sr. Manager Admin.
Facilities, Repair & Maintenance
• Ensure repair and maintenance of the ACE Union Office
• Execute the Admin Department's repair and maintenance plan.
• Coordinate admin-related operations at the ACE Union Office, including procurement, food, and other support services
Outdoor Staff Management
• Manage ACE outdoor staff, including kitchen staff, security staff, drivers, sanitation staff, and electrical and maintenance personnel.
• Monitor sanitation staff and their cleaning schedules, assigning additional cleaning jobs where required. Food & Kitchen Services
• Plan kitchen-related functions and assign duties to responsible staff, covering menu planning, procurement, inventory, cleaning, service, quality, and maintenance
Vehicle Management
• Manage repair and maintenance, fueling, and oiling of all official vehicles
Events & General
• Assist seniors in organizing ACE events and functions under the guidance of the Sr. Manager Admin.
• Arrange sports and other extracurricular activities.
• Perform other tasks assigned by the Sr. Manager Admin.
