Administrator/Receptionist - North Yorkshire Horizons

Location: 4 Park Street, Selby, YO8 4PW
Working Hours: Part-time, working 9am-5pm over three days per week (Wednesday, Thursday and Friday)
Contract Type: Permanent
Salary: £25,877.70 - £28,454 per annum (pro rata)

Interviews to take place week commencing the 22nd of June.

About the role:

We have an exciting opportunity to join our North Yorkshire Horizons service in Selby, which offers individualised support packages for people who are experiencing problematic substance use.

You will be required to provide administrative support and oversee the running of reception to provide a team of recovery staff with first class administrative support, an accommodating approach and a welcoming reception area in a busy Recovery Hub, assisting the integrated team to achieve sustainable treatment outcomes for service users within Selby and surrounding areas.

Key duties will include the following:

  • Act as the first point of contact for clients and visitors to the service and coordinate timely responses to enquiries made via telephone, email, text and website.
  • Ensure everyone contacting the service is welcomed, supported and where appropriate signposted to service staff and/or relevant partners.
  • Provide a positive first contact for those contacting the service by telephone, utilising the service referral pathway to identify and action appropriate next steps including options such as booking an assessment appointment, accessing a duty worker or signposting.
  • Ensure a high standard of accuracy for data entry, using computerised recording systems and packages such as Excel, Access, Theseus and other databases within required deadlines.
  • Where relevant lead on the coordination of room bookings, including preparation of meeting/training rooms and organisation of refreshments as requested.
  • Attend meetings and take minutes when required.

About you:

  • NVQ level 2 in business administration (or equivalent) or demonstrable related experience.
  • Proficient in Microsoft Office programmes.
  • Ability to collate and disseminate information.
  • Administrative skills, including experience of working within electronic monitoring and recording systems.
  • Be able to communicate effectively with a range of people.
  • Manage a number of priorities at once.
  • Remain calm under pressure.
