The Administrator role involves providing comprehensive administrative support to various departments and teams. The successful candidate will act as a key point of contact for administrative functions, ensuring the smooth running of daily operations and contributing to overall efficiency. This position requires a proactive individual capable of managing diverse tasks in a dynamic environment.
Duties of the Role include:
Manage and organise various documents, reports, and certifications, both physical and electronic, ensuring accurate record-keeping and document control.
Provide general administrative support to assigned managers and teams
Assist with financial and procurement processes, including raising, receipting, and amending purchase orders, processing invoices, assisting with client billing, and handling expense claims.
Maintain and update various databases, registers, and internal systems, ensuring data accuracy and integrity.
Manage incoming and outgoing correspondence, including emails, calls, and inquiries, ensuring timely responses and effective communication with internal and external stakeholders.
Coordinate and organise internal and external meetings and events, including but not limited to preparing documentation and taking minutes.
Compile, generate, and distribute various reports and presentations, providing research support as needed.
Support client-related administrative functions, ensuring high levels of customer satisfaction and service delivery.
Assist with the coordination and record-keeping of training programs and support the onboarding process for new employees.
Undertake general office duties and ad-hoc tasks as required to support departmental operations.
Required Skills for this Role:
Strong organisational and prioritisation skills, with the ability to manage multiple tasks and work to deadlines.
Advanced computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Applications (Docs, Sheets, Slides).
Excellent verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
Exceptional accuracy and attention to detail in all administrative tasks.
Ability to work effectively both independently and as part of a team, fostering strong working relationships.
Proactive, self-motivated, and capable of working on own initiative with a positive attitude.
Solution-oriented, adaptable, and flexible with a willingness to learn in a dynamic environment.
Minimum of 2-3 years of proven administrative or coordinator experience
