Salary: Circa £26,000 (DOE)

As an Administrator within BAE Systems Electronic Systems, you will play a vital role in keeping a fast‑paced, innovative environment running smoothly. Reporting to a Product Line Director, you’ll manage complex diaries, coordinate UK and international travel, and oversee immigration requirements for staff. You’ll organise meetings, catering, venues, and site access while handling changes efficiently to reduce business impact.

Core duties:

  • Travel booking; to include UK and International (flights, hotels, car hire etc) ensuring all travel complies with company policies and adheres to budgets
  • Addressing all immigration requirements for staff; VISAs, ESTAs, etc
  • Coordinating all meeting logistics, including arranging meetings with appropriate venues and catering, managing access requirements for host sites by providing necessary nationality and passport details, and handling changes or cancellations to minimise cost impact to the business
  • Developing and providing Excel‑based reports as requested and setting up and maintaining organised filing and document‑management systems.
  • Supporting the team with day-to-day enquiries to ensure the smooth running of the office and undertaking adhoc projects as required

Essential Skills:

  • Solid administrative experience, with a proven track record of delivering high‑quality support
  • Demonstrated experience coordinating international travel and managing complex itineraries
  • Considerable proficiency in Microsoft Word, PowerPoint and Excel
  • Highly organised, able to prioritise effectively and manage multiple tasks
  • Detail‑oriented approach, maintaining precision and consistency across all responsibilities
