Salary: Band C £30,895
Hours: Full Time (We understand the importance of work-life balance, and offer flexible working however this role requires 3 days per week working on site)
Contract Type: 12 Months-Fixed Term Maternity Cover

About the Role:

We are looking for an Administrator to join our Business Incubation Support team. The Business Incubation team at RAL provide laboratory and office accommodation to an active and growing portfolio of over 130 technology tenant companies, predominately early-stage and start-up.

Joining a small team within a larger department, you will provide administrative support for the tenant management of companies. You will undertake a range of duties including office functions such as processing invoicing, balancing finances and generating lease agreements from templates. You will also undertake tenant support functions such as processing site passes, managing meeting rooms and bookings and managing office inventory e.g. furniture. We are looking for someone with attention to detail as this role involves financial and contractual elements. There is an element of customer-facing activities, and no two days are the same, so we are looking for someone with flexibility in their approach to work. There is an opportunity to expand within the role by generating and producing reports and managing data.

Further responsibilities will include:

  • Keeping tenant management databases up to date.
  • Producing lease agreements and facility-use contracts from template agreements.
  • Raising invoices monthly to all tenants/customers.
  • Ensuring invoices have been paid monthly and following up any non-payments and reporting to manager.
  • Meet and greet new tenants.
  • Maintaining the Tenant Portal.
  • Collaborate closely with Estates and issue work orders for building maintenance.
  • Collaborate closely with IT departments to ensure tenant requirements are met.
  • Undertake regular building checks & report potential problems.
  • Assist Health and Safety officers on H&S tours.
  • Attending meetings and providing paperwork when required.
  • Supporting events.

Person Specification:

The below criteria will be assessed at Shortlisting (S), Interview (I), or both (S&I).

Essential:

  • Proficient in the use of MS Office 365, SharePoint, & data management in Excel spreadsheets. (S&I)
  • Basic understanding of finance. (S&I)
  • Excellent organisational and administration skills. (S&I)
  • Attention to detail and accuracy. (S&I)
  • The ability to work as part of a team, with willingness to support colleagues and share responsibilities as needed (I)
  • Good verbal and written communication skills. (S&I)
  • Ability to operate efficiently in a changing environment and to be flexible. (I)
  • Ability to work on own initiative and skilled in time management. (I)
