Job Description

Position Summary

Works under the general supervision of the Information & Assistance Officer to perform clerical duties that require the use of independent judgment and skill.

Pay Grade: 43

Salary Commensurate with Experience and Education

Minimum Qualifications

  • Four (4) years’ experience in clerical, bookkeeping, data processing, statistical work; AND
  • High school diploma or possess a GED; OR
  • Three (3) years of experience in an appropriate clerical, bookkeeping, data processing or statistical work; AND
  • One (1) year of college study (30 semester hours or 36 quarter hours).
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.

Duties and Responsibilities

  • Performs special project activities such as scheduling meetings, developing spreadsheet, project plans/scheduling, as well as meets with consumers. Research orders or purchases items and drafts correspondence as assigned by Manager.
  • Assists in data collection coordination efforts with other agencies and individuals. Conducts research, collects and analyzes data to prepare reports and documents.
  • Confers with and advises staff on administrative policies and procedures, technical problems, priorities and methods. Confers with staff to ensure that activities assigned are completed in a timely and effective manner.
  • Prepares, responds to and edits correspondence, communications presentations and other documents.
  • Arranges and coordinates project-based work, meetings and events.
  • Records and prepares minutes for Board of Directors and Advisory Council Meeting.
  • Designs and edits Senior Information Handbook.
  • Manages Social Media/Facebook for Agency.
  • Assists seniors with signing up for Transportation services.
  • Responsible for submitting maintenances request to the property management. Responsible for managing the maintenance of the Agency fleet.
  • Assist and work outreach events when needed.
  • Assists in managing ACMS waitlist.
  • Performs other related duties as required or directed.

KSAs

  • Knowledge of modern office practices and procedures.
  • Knowledge of business English and math.
  • Ability to compose general correspondence, write, and type documents for a variety of needs.
  • Working knowledge of Microsoft Office and other software.
  • Ability to analyze and solve problems and exercise good judgement.
  • Ability to communicate effectively with the public, co-workers and other departments.

Special Requirements

  • Must possess a valid Tennessee Driver's license or secure one upon date of employment
  • Must have daily access to an operable automobile
  • Must meet County requirements for automobile insurance upon the date of employment
  • Must pass background check to include: Criminal History, Tennessee Abuse Registry, Tennessee Felony Offender Registry & the National and Tennessee Sexual Offender Registry.

The residency requirement shall not apply to certain public safety/civil service employees. This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department.
