Administrative Support Specialist
Location: Augusta, ME
Schedule: Full-Time | Monday–Friday, 8:00 AM – 5:00 PM
Work Model: Onsite
Our client is seeking a detail-oriented Administrative Support Specialist to provide long-term support within the Central Office in Augusta, ME. This role supports critical administrative functions, including processing provider information and service requests, coordinating travel for staff and clients, developing professional communications, and maintaining organized records.
The primary goal of this position is to ensure the efficient operation of central office activities while maintaining compliance with State and Federal regulations and supporting accurate federal funding claims.
The ideal candidate is self-motivated, highly organized, detail-focused, and capable of critical thinking in a fast-paced administrative environment.
Key Responsibilities
• Receive and process service requests accurately and efficiently
• Review, validate, and update data across multiple systems
• Prepare and manage professional correspondence, including official eligibility letters
• Maintain and organize client records, documentation, and filing systems
• Develop and manage client communications using internal systems
• Coordinate transportation and travel services for staff and clients
• Support administrative workflows to ensure compliance with State and Federal guidelines
Qualifications
Required:
• Training, education, or experience in administrative or office support functions
• Demonstrated ability to:
◦ Perform accurate data entry and validation
◦ Use Microsoft Office (Word, Excel, Outlook) effectively
◦ Produce clear, professional written communication
◦ Maintain organized filing systems and records
◦ Apply strong analytical and problem-solving skills
• Excellent organizational and time management skills
• Ability to work independently with a high level of accuracy and attention to detail

• Proven ability to manage multiple priorities simultaneously
• Experience working in administrative support within government or human services environments
Work Schedule & Environment
• Monday–Friday, 8:00 AM – 5:00 PM
• Full-time (40 hours per week)
• Onsite work required; no anticipated overtime

Compensation for roles at Staffing Solutions Organization LLC (SSO) varies depending on a wide array of factors including, but not limited to, the specific office location, role, skill set, and level of experience. As required by applicable law, SSO provides a reasonable range of compensation for this role. In addition, SSO provides a range of benefits for this role.
